Job Summary
We are seeking a motivated and detail-oriented Procurement Intern / Assistant to support the Procurement team in managing sourcing, vendor administration, purchasing processes, and payment tracking. The role provides valuable exposure to procurement practices within the construction industry and offers hands-on experience in vendor management, document control, and procurement operations.
Key Responsibilities
Pre-Qualification & Vendor Registration
Assist in the vendor pre-qualification and registration process.
Collect, verify, and maintain vendor documentation and records.
Coordinate with vendors to obtain required supporting documents and certifications.
Ensure vendor information is updated and accurately maintained in the procurement database.
Filing and Document Control
Maintain proper filing systems for procurement-related documents, including quotations, purchase orders, contracts, and vendor records.
Ensure all procurement documents are organized, complete, and easily accessible for reference and audit purposes.
Monitor document versions and maintain accurate records in accordance with company procedures.
Monitoring Purchase Requisitions (PR) & Creation of Purchase Orders (PO)
Monitor the status of Purchase Requisitions (PR) submitted by project teams and departments
Assist in preparing and generating Purchase Orders (PO) based on approved requisitions and quotations.
Follow up with internal stakeholders and suppliers to ensure timely processing of procurement activities.
Maintain accurate records of PR and PO transactions within the procurement system.
Payment Monitoring and Updating
Assist in monitoring contractors’ invoices and payment status.
Verify supporting documents before payment processing.
Update payment records and procurement databases accurately and in a timely manner.
Coordinate with the Finance Department and suppliers regarding payment-related matters when required.
Qualifications
Currently pursuing a Bachelor's Degree in Quantity Surveying, Construction Management, or a related field
Basic understanding of procurement and purchasing processes within the construction industry is an advantage.
Proficient in Microsoft Office applications, particularly Excel and Word.
Strong organizational and documentation skills.
Good communication and interpersonal skills.
Detail-oriented, responsible, and willing to learn.
