Description

Reporting to the VP, Education, the Manager, Administration & Operations is responsible for leading an effective and efficient team that focuses on the overall administrative operations of the school and education department including all aspects of accounting, finance, vendor and consultant management, inter-departmental services, and other necessary support functions aligned with necessary administrative operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Administration and Operations

  • Oversees department operations and ensures that day-to-day operations are appropriately managed and effective.

  • Partners with stakeholders to ensure that the responsibilities related to student enrollment, student recruitment, and attendance including outreach, training, and reporting are upheld for the school and department services.

  • Manages vendor and consultant relationships.

  • Prepares reports, project summaries, and memos related to the department’s major initiatives.

  • Leads the department’s emergency preparedness planning and execution in collaboration with key department members and teams.

  • Oversees the nutrition program in partnership with Food & Beverage.

  • Ensures the department and school are appropriately managed and responds to building management and facilities crises as needed.

  • Manages the relationships and staffing with inter-departmental services such as IT, Food & Beverage, Public Works, and Tribal Family Services.

  • Supports the planning and execution of school-wide events from an administrative aspect, ensures that all orders are procured in a timely manner. (e.g., Graduation, Family Orientation, Enrollment Events)

  • Ensures the department’s websites are updated and maintained.

  • Manages all communication for the department, including newsletters, calendars and special events.

  • Assists the Principal and Director with school and department activities as needed.

  • Tracks document submission within the education department.

  • Partners with stakeholders and teams on all WASC processes.

  • Contributes to the Quarterly and Annual Reports for submission to the Education Board.

2. Accounting and Finance

  • Ensures the accurate collection and processing of payments.

  • Monitors the Education Department budget for accuracy and trends, and reports inconsistencies and negative trends to the VP in a timely manner. Submit timely reports to the VP and Education Board.

  • Processes reimbursement requests and expense reports.

3. Data Management

  • Supports the integration of the Student Information System to ensure that all administrative functions uphold the integrity of student personal demographics, health, scheduling, and academic data. 

  • Manages the appropriate custody of all department files, ensuring they are complete, accurate, and properly organized.

  • Monitors internal systems for managing and tracking student attendance.

  • Monitors student enrollment system and registration.

4. Human Resources

  • Engages and supports leadership throughout the hiring process including recruitment and hiring.

  • Facilitates the department onboarding of new staff.

  • Promotes efficient, streamlined workflows for HR processes.

  • Maintains licensing and credentialing records to ensure renewals and re-certifications

  • Coordinates and tracks teacher evaluations to create reports for the VP.

  • Serves as a primary contact for Human Resources.

5. Performs other duties as assigned to support the efficient operation of the department.

SUPERVISORY RESPONSIBILITIES

Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning reviewing and directing work; evaluating and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Makes hiring decisions and designs individual development plans with succession planning in mind for all key roles.

 EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • A bachelor’s degree is required.

  • A minimum of 3 years of experience in providing medium to high-level administrative, operational, and financial support to management is required.

  • A minimum of 3 years of supervisory experience strongly preferred.

  • Administrative experience in a school environment is preferred.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above. 

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Must be willing and capable to learn the Serrano language.

  • Educational work in a tribal community is preferred.

  • Knowledge of the Education Code is preferred.

  • Excellent organization, time management and follow-up skills; high sense of urgency; demonstrated ability to successfully handle multiple projects concurrently; ability to work as a team is required.

  • Ability to communicate, write, and present effectively, and the demonstrated ability to be persuasive and interact with diverse audiences.

  • Knowledge of business and management principles in leadership techniques, resource allocation, coordination of resource and people is required.

  • Strong analytical skills to assess situations, obtain appropriate information and make sound judgment and independent decisions.

  • Strong interpersonal and communication skills.

  • Ability to handle highly sensitive and confidential information using tact, diplomacy and exemplary judgment.

REQUIRED LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • As a condition of employment, candidates and incumbents are required to pass pre- and post-employment screening including Live-Scan, background, drug testing, and tuberculosis (TB) testing. 
  • Authorized Driver: Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver’s license with an acceptable driving record as determined by the insurance carrier is required.  

PHYSICAL REQUIREMENTS/ WORKING CONDITIONS – ENVIRONMENT

The physical demands and working environment described here are representative of those that an employee encounters and must be met by an employee to successfully perform the essential functions of this job.

  • Primary work environment is in a climate-controlled office setting.

  • Work requires travel to attend meetings, trade shows, and conferences.

  • Incumbents may be required to work evening, weekend and holiday shifts.

  • Must be able to work in a fast-paced, high-demand environment.

  • Strength sufficient to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and/or move up to 40 pounds occasionally.

  • Sedentary work: involves sitting most of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

  • Physical activities that apply to the essential functions of the position are balancing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, grasping, talking, hearing, and repetitive motions.

  • Hearing sufficient to hear conversational levels in person, via videoconference and over the telephone.

  • Speech sufficient to make oneself heard and understood in person, in front of groups, in meetings, via videoconference and over the telephone.

  • Visual acuity that meets the requirements of the position: The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading and visual inspection of employees, visitors or facility.

  • Mobility sufficient to safely move in an office environment, walk, stoop, bend and kneel, and enter, exit and operate a motor vehicle in the course of travel to promotional events, meetings, conferences, trade shows and San Manuel properties.

  • Endurance sufficient to sit, walk and stand for extended periods, and maintain efficiency throughout the entire work shift and during extended work hours.

  • The employee may be exposed to fumes or airborne particles including secondhand smoke.
