Here at Marsh, we have a fantastic opportunity for someone to join us as a Team Administrator within the Marsh Portfolio Solutions (MPS) Norwich team. Based in our Norwich office, this role will provide a broad range of administrative and coordination support across the team and will report directly to the MPS Leaders Executive Assistant.
The Team Administrator will play a key role in supporting the smooth running of the team by coordinating governance and leadership meetings, maintaining key registers and databases, managing team communications, and supporting a range of operational and employee engagement activities. This is an excellent opportunity for an organised, proactive, and collaborative individual who enjoys working in a fast-paced and dynamic environment.
This role will be offered on a full-time, permanent basis and will be Norwich office based, with the option to work remotely 1–2 days per week. The occasional travel to London may be required.

Team Administrator Responsibilities
Maintain and update the Gifts & Entertainment (G&E) register for Marsh Portfolio Solutions.
Organise and support governance meetings, including gathering documents, preparing agendas, taking minutes, logging outcomes, and managing the bi-weekly meeting schedule.
Coordinate Executive meetings by preparing documentation, setting agendas, recording minutes, tracking action items, and maintaining the bi-monthly schedule.
Plan and support Away Days, both onsite and offsite, including documentation, agendas, minutes, action logs, and bi-annual scheduling.
Manage invoicing processes through CIS and Tungsten platforms.
Oversee locker allocation and maintenance for MPS London.
Maintain and update MPS distribution lists, including MPS UK & Ireland, London, Fast Track, and other relevant group lists.
Support DICE activities and colleague engagement initiatives such as volunteering, colleague surveys, and social events.
Coordinate and update the organisational structure chart.
Create and edit content on Fast Track and MPS SharePoint sites.
Manage document signing processes for facility contracts and other documents using DocuSign.
Administer Qualtrics surveys and related activities.
Organise Learn and Connect sessions to support team engagement and knowledge sharing.
Coordinate quarterly updates for MPS UK & Ireland.
Provide ad hoc training support as required.
Maintain the Risk Management Database, working with subject matter experts to ensure information remains accurate and up to date.
Support onboarding and coordination for new staff within MPS London.
Assist with the MPS business plan and leadership away day outputs, supporting alignment to team priorities and growth objectives.
Draft and distribute internal communications.
What you need to have
Experience in an administrative, coordination, or team support role, with the ability to manage multiple tasks, organise effectively, and prioritise competing deadlines.
Strong planning and organisational skills, with the ability to manage your own workload and support the coordination of team activities and meetings.
Excellent attention to detail and accuracy, particularly when preparing agendas, minutes, action logs, reports, and internal communications.
Strong written and verbal communication skills, with the confidence to liaise professionally with colleagues and stakeholders at all levels.
Ability to work proactively and independently, using sound judgment to anticipate needs and follow through on actions.
Comfortable working to tight deadlines in a fast-paced environment, while maintaining a high standard of quality.
Strong IT skills, including proficiency in MS Outlook, Teams, and Zoom, with the ability to learn and use systems such as SharePoint, DocuSign, Qualtrics, CIS, and Tungsten.
A collaborative, approachable, and positive manner, with the ability to build effective working relationships across the team and wider business.
A high level of discretion and professionalism, with the ability to handle confidential and sensitive information appropriately.
A team-oriented mindset, with a willingness to support engagement activities, onboarding, internal communications, and broader team administration.
