What this job involves:
Provide general overall FM services including continuous monitoring of facility. Work with Facilities Team to handle routine facilities management operations, including: procurement of property supplies and services, issuing purchase orders, managing bid requests and processing of accounts payable and accounts receivable.
Service Delivery:
- Actively support an environment of teamwork, cooperation, performance excellence, and personal success.
- Assist Facility Management Team with tactical planning for the team’s goals and objectives
- Manage and maintain small facility management tasks as assigned
- Manage the timely creation of purchase orders and oversee invoice processing, tracking, and reconciliation to ensure accurate financial records and prompt vendor payment.
- Conduct daily walkthroughs to ensure clean and organized campus.
- Respond to all soft services work orders in a timely manner, ensuring KPI compliance and excellent customer service.
- Identify opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times and the provision of a safe workplace.
- Provide coordination and support events, meeting, and conference facilities when needed.
- Assist in the procurement of vendors and services as required.
- Assist with the coordination and scheduling of maintenance activities when needed.
- Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption
- Assist with budgetary requests, analysis and reporting
- Assist with researching, analyzing and reporting budget variances
- Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
- Deliver an exceptional quality of service, as reflected by client feedback.
- Coordinate site operations in accordance with all agreed policies, procedures, and contract scope.
Required Qualifications:
- Associates degree in facilities management, building, business or another related field
- 2+ years’ experience with Facility or Property Administration
- Superior customer service skills and orientation
- Ability to maintain professionalism at all times and under stressful situations
- Ability to plan and manage work under time constraints and multitask without direct supervision
- Strong written, verbal and people skills with strong organizational abilities
- Proficient in MS Office Suite
Preferred Qualifications:
- Experience with procurement processes and purchase order management
- Experience with budget analysis and variance reporting
- Understanding of basic facility management principles and practices
- Experience working in client-facing environments
- Knowledge of vendor management and service provider coordination
