Our mission is to be the most reliable company by consistently providing high-quality services. We achieve this by building long-term relationships with our customers, employees, and partners. Personal attention, timely communication, and respect for all people are the foundation of our business philosophy.
We are seeking an organized, detail-oriented, and proactive Client Coordinator to serve as the key connection between clients, engineering teams, drafting specialists, and company leadership.
In this role, you will manage projects throughout their lifecycle, from initial client requests and project setup to plan revisions, final delivery, and closeout. You will work with project management and communication tools to ensure that requests are handled accurately, deadlines are met, and clients stay informed.
This position is ideal for someone with coordination or client-facing experience who enjoys taking ownership, solving problems, and working with technical documentation. It also offers a clear opportunity to grow into a Project Manager role.
What You'll Do
Coordinate client requests from initial contact through project setup, scope confirmation, and documentation.
Track projects throughout the entire workflow, including drafting, client review, revisions, final delivery, and archiving.
Review plan sets for accuracy, ensuring that client feedback and requested changes have been properly incorporated.
Make direct revisions to technical drawings in AutoCAD and coordinate more complex changes with engineering and drafting teams.
Monitor client communications, organize incoming documents, and ensure that all information is recorded in the appropriate systems.
Provide proactive updates to clients regarding project progress, outstanding requests, and potential delays.
Coordinate with engineers, drafters, and leadership to keep projects on schedule and maintain high-quality deliverables.
Monitor project statuses, identify bottlenecks, and escalate delays, documentation gaps, or capacity concerns when necessary.
Support project coordination across different business areas, including engineering, residential plan services, and construction forensics.
Contribute to process improvements and develop the skills needed to take on broader project management responsibilities.
Requirements
1–3+ years of experience in project coordination, operations, administrative support, or a client-facing role.
Working proficiency in AutoCAD — required, including the ability to make direct edits to technical drawings.
Working proficiency in Smartsheet — required for project tracking and schedule management.
Strong organizational skills and exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple tasks, priorities, and software systems simultaneously.
A proactive approach to problem-solving, with the ability to determine when to resolve an issue independently and when to escalate it.
Confidence working with technical documentation and coordinating with different teams.
A strong interest in developing a career in project management.
Will Be a Plus:
Previous experience in the architecture, engineering, and construction (AEC) industry.
Familiarity with Revit.
Experience using CRM, project management, document management, or billing systems.
