Accounts Payable Analyst

About the role

We are seeking a detail-oriented Accounts Payable Analyst to support high-volume invoice processing, payment processes, and expense report review. This role is responsible for ensuring accuracy, completeness, and compliance across all AP transactions, while maintaining strong internal controls. This is a hands-on role focused on execution and quality—invoice entry, payment preparation, and Concur review—not invoice approval authority.

Key responsibilities

• Process high volumes of vendor invoices, ensuring accurate coding (entity, department, GL account), proper documentation and attachments, matching to purchase orders and receipts (where applicable), and correct vendor, amount, and due date
• Verify that required approvals are obtained and attached prior to processing (non-PO invoices must include documented approval)
• Identify duplicates, incorrect billing, or unusual items and escalate as needed
• Ensure invoices are recorded in the correct accounting period
• Prepare and support execution of weekly payment runs (ACH, wire, and check)
• Coordinate payment timing based on cash needs and vendor terms
• Monitor and help maintain clean AP aging by resolving outstanding balances, credits, and discrepancies
• Review employee expense reports in Concur for policy compliance (receipts, business purpose, proper expense types), accurate coding and documentation, and duplicate transactions
• Set-up and maintain vendor records, ensuring W-9s, ACH details, and required documentation are complete
• Respond to vendor inquiries and resolve payment issues promptly

About you

• 3–5+ years of Accounts Payable or accounting experience
• Strong experience with high-volume invoice processing
• Hands-on experience with ERP systems (Sage Intacct preferred)
• Experience with payment processing (ACH, wires, checks)
• Experience reviewing expense reports per travel policy (Concur or similar system)
• Strong attention to detail and accuracy
• Ability to manage deadlines in a fast-paced environment
• Preferred: Experience in a multi-entity environment
• Preferred: Familiarity with Concur (expense reporting), ConnectWise, or procurement systems
• Preferred: Understanding of AP controls, audit requirements, and 1099 processes
