EXECUTIVE ASSISTANT

The Role
Provide high level secretarial and administrative support for the organization’s executives, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization’s operations, procedures, and people.
The role will be based in Kitwe, Zambia, reporting to the Vice President Sales Area Central Africa
Essential duties & responsibilities
Executive Support
Manage and maintain the executive's calendar, appointments, and travel arrangements.
Screen and prioritize incoming emails, calls, and correspondence.
Prepare, edit, and distribute reports, presentations, memos, and other documents.
Organize and coordinate meetings, including agenda preparation and minute-taking.
Follow up on action items and ensure deadlines are met.
Communication and Coordination
Act as the primary point of contact between the executive and internal/external stakeholders.
Coordinate communication across departments and provide administrative support for executive initiatives.
Draft professional correspondence on behalf of the executive.
Handle inquiries and requests in a timely and professional manner.
Meeting and Event Management
Arrange executive meetings, conferences, workshops, and business events.
Prepare meeting materials, presentations, and briefing documents.
Record minutes and monitor follow-up actions.
Travel and Logistics
Coordinate domestic and international travel arrangements, including flights, accommodation, visas, and itineraries.
Prepare travel expense claims and related documentation.
Office Administration
Maintain confidential records, documents, and filing systems.
Manage office supplies and administrative resources for the executive office.
Support budget tracking and procurement activities where required.
Ensure compliance with company policies and procedures.
Confidentiality and Governance
Handle sensitive and confidential information with the highest level of discretion.
Support governance requirements through accurate record keeping and document management.
Assist with board meetings, executive committee meetings, and strategic projects where applicable.
Qualifications and Experience
Education
Diploma in Business Administration, Public Administration, Office Management, or a related field.
Experience
Minimum of 3–5 years' experience in an Executive Assistant, Personal Assistant, or senior administrative support role.
Experience supporting senior executives or leadership teams.
Experience in a corporate, mining, industrial, or multinational environment is an added advantage.
Knowledge and Skills
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Strong report writing and presentation preparation skills.
Ability to manage multiple priorities and work under pressure.
