Job Summary
This is a Director-level individual contributor role with full ownership of Ventra Health’s events strategy, budget, and vendor and contract relationships. This role will handle both strategy and execution. You will partner directly with the SVP and VP of Marketing to build an events strategy that drives Marketing’s demand generation goals, and you will be accountable for the pipeline results it delivers.
Essential Functions and Tasks
What You'll Own
1. Strategy, Budget & Executive Partnership
Own the enterprise events strategy and make final strategic decisions on which events Ventra attends, sponsors, hosts, or exits, based on pipeline, ROI, and demand generation goals.
Partner with the SVP and VP of Marketing and the SVP of Sales to set annual events strategy, goals, and priorities aligned to demand generation targets, and present recommendations and results to Marketing and executive leadership.
Own the full events budget: build the annual plan, allocate spend across national, regional, client, and webinar programs, forecast, and take accountability for budget performance.
Lead contract and sponsorship negotiations with show organizers, venues, exhibit houses, and agencies. Set negotiation strategy, secure favorable terms, and manage vendor performance and renewals.
Define the events measurement framework (pipeline, meetings, cost per opportunity, ROI) and use it to make reallocation decisions.
Work with Sales and Customer Success leadership to align event investment with revenue priorities and the Named Account ABM program.
Build and develop the events team, set priorities, and establish standards, processes, and playbooks.
2. National Conferences & Trade Shows Execution
Own execution for the national event program (6-10 national shows/year), typically 2K–15K attendees with significant presence at each show, organizing and owning our booth experience, receptions, and private dinners.
Manage contracts, sponsorship packages, booth space, shipping, vendors, show-service orders, and the event budget.
Lead onsite: booth build and tear-down (or working with build vendors), staffing schedules, lead capture, and day-to-day problem solving.
Coordinate internal attendees, run-of-show, and executive briefings (who we're meeting, why, and what the ask is).
Deliver post-event follow-up: lead handoff to Sales/BDRs within agreed SLAs, MQL identification, and a post-event ROI report.
3. Regional, Client & Executive Events Execution
Support regional shows led by Sales: contract and invoice support, event kit and materials ordering, warehouse inventory, and event calendar upkeep.
Plan and execute account-based programming: user groups, client advisory boards, client panels at events, and VIP experiences.
Partner with Sales leadership and Customer Success to identify the right accounts and executives for each event.
4. Webinar Program Execution
Own the webinar process from start to finish: run-of-show, slide and script development with Content, registration pages, email and paid promotion, rehearsals, live hosting and moderation, Q&A, on-demand replay, and follow-up.
Host and produce live webinars, including Ventra-hosted programs and co-hosted or third-party sessions.
Prep and coach internal speakers and client panelists so sessions are sharp, on time, and on message.
Track registrations, attendance, engagement, and pipeline influence, and report results monthly.
Build a repeatable webinar calendar tied to content launches, trend reports, and ABM campaigns.
5. Campaign & Operations
Work with Marketing ops to manage an event campaign in HubSpot for every event so leads, meetings, and revenue can be attributed.
Align events with our Named Account ABM program: prioritize target accounts, drive meeting-setting, and measure account penetration.
Maintain the master events calendar, planning timeline, and budget tracker; forecast spend and flag variances early.
Evaluate each event against defined goals and recommend what to keep, scale, or cut for next year. Contribute to the annual events plan and budget.
Manage agencies and vendors (exhibit house, AV, registration, shipping, swag).
Success Measures
Events ROI and pipeline contribution against demand generation goals
Strategic alignment with and credibility among SVP and VP of Marketing
Budget ownership: spend efficiency and cost per opportunity improvement year over year
Contract savings and terms secured through negotiation
Development of the events team and its processes
Pipeline generated and influenced per event
Meetings booked and held at each event
Event and webinar attendance and registration-to-attendance conversion
On-time lead handoff and follow-up
Budget adherence and on-time, error-free execution
Internal stakeholder satisfaction (Sales, executives, Customer Success)
Education and Experience Requirements
7-10+ years in B2B event or field marketing, including 3+ years leading a national events program with direct ownership of a multi-million-dollar budget.
Demonstrated experience negotiating sponsorship, venue, and vendor contracts and making independent strategic investment decisions.
Experience building events strategy tied to demand generation goals and presenting it to senior executives.
Experience leading, coaching, or managing team members or agency partners.
Proven track record running national conference programs, including booth logistics, vendor management, budgets, and onsite leadership.
Experience producing and hosting live webinars end to end on a platform
Exceptional attention to detail and organization: you track every deadline, deliverable, shipment, and contract term, and you catch problems before they happen.
Comfort with executives. You can confidently prep, brief, and work alongside C-suite leaders, physicians, and senior Sales and Customer Success leaders, and represent Ventra professionally at receptions and dinners, and online.
Willingness to travel up to 25% (seasonally), including 2-4 weekends, and to work hands-on at the booth (setup, tear-down, lifting, long days on your feet).
Strong written and verbal communication.
Experience with a CRM and marketing automation platform; HubSpot strongly preferred.
Ability to manage multiple events at once in a fast-paced, lean-team environment.
Bachelor's degree in marketing, communications, business, or equivalent experience.
Knowledge, Skills, and Abilities
Preferred
Experience in healthcare, healthcare IT, revenue cycle management, or professional services selling to physician groups, hospitals, or health systems.
Experience supporting ABM programs and measuring event ROI tied to pipeline.
Experience planning VIP events (think customer advisory boards, user groups, or curated dinners)
Comfort using AI tools to speed up first drafts, run-of-show, scripts, and reporting.
How You Work
You treat the checklist as a living document and you're the one who builds it.
You are as comfortable with a spreadsheet and a shipping manifest as you are with a CEO at a reception.
You push for clear goals before the event and honest results afterward.
You work in the open: weekly updates, a shared calendar, and a clear owner for every task.
You're a team player who can partner with Sales, Customer Success, Content, Design, and Marketing Ops.
You own outcomes, not just tasks. You make the call, explain the reasoning, and answer for the results.
You think like a business owner: every dollar spent at an event should have a clear return.
You are a trusted strategic partner to the SVP and VP of Marketing and can influence senior leaders across the organization.
Compensation
- Base Compensation will be based on various factors unique to each candidate including geographic location, skill set, experience, qualifications, and other job-related reasons.
- This position is also eligible for a discretionary incentive bonus in accordance with company policies.
