SENIOR ASSOCIATE TALENT ACQUISITION OPERATIONS - ADMINISTRATION & COORDINATION (X2)

LIVE

WHAT YOU WILL DO

We are seeking two experienced, solutions-oriented Senior Associate Talent Acquisition Operations to independently manage complex recruitment administration and coordination services across ELMAC countries.

In this role, you will deliver and help strengthen key stages of the hiring lifecycle, including interview coordination, offer and employment-contract administration, pre-employment checks, Workday hiring activities, and pre-boarding coordination. You will act as a process expert and escalation point, lead defined improvement or transition workstreams, use service data to identify issues, and coach colleagues while maintaining the local controls required for a compliant and high-quality candidate experience.

Responsibilities:

  • Independently manage a portfolio of complex or multi-country recruitment administration cases, ensuring accurate, timely, and consistent delivery across the assigned hiring lifecycle.

  • Coordinate complex interviews and candidate logistics, resolving scheduling conflicts and high-priority changes while maintaining clear communication with candidates and stakeholders.

  • Oversee the preparation and quality review of offer letters and employment contracts using approved templates, documented country requirements, and the required approval controls.

  • Manage complex pre-employment and background-check cases, partner with the appropriate country experts on exceptions, and ensure issues are documented and escalated appropriately.

  • Act as a subject matter expert for assigned processes or countries, maintaining process documentation, controls, templates, and knowledge materials.

  • Serve as an escalation point for Associates and stakeholders, diagnosing operational issues, coordinating resolution, and involving the Manager or local experts when policy, legal, or compliance interpretation is required.

  • Monitor work queues, service-level agreements, quality indicators, and recurring issues; recommend priorities and corrective actions to protect service delivery.

  • Lead defined low- to medium-complexity projects or workstreams, such as country transitions, knowledge transfer, user acceptance testing, template rationalization, or process-control improvements.

  • Use data and root-cause analysis to identify opportunities to simplify, standardize, and automate processes, and support the implementation and adoption of agreed solutions.

  • Support Workday configuration and automation initiatives for offer letters and employment contracts by documenting requirements, coordinating inputs, testing solutions, and tracking defects.

  • Coach and provide day-to-day guidance to Associates, share best practices, support onboarding and training, and conduct quality reviews where assigned.

  • Build effective working relationships with recruiters, HR Operations, Legal, Compliance, payroll, and country HR partners; prepare service updates and communicate risks, trends, and recommendations clearly.

  • Demonstrated experience independently handling complex post-offer, hiring-documentation, pre-employment, or pre-boarding cases.

  • Experience working across multiple countries, business groups, or stakeholder teams and navigating documented local variations.

  • Demonstrated ability to analyze operational issues, identify root causes, and implement practical process improvements.

  • Experience leading a defined project, transition, testing cycle, or process-improvement workstream.

  • Strong judgement, attention to detail, and discretion when handling sensitive personal and employment information.

  • Strong stakeholder-management, written communication, and problem-solving skills in a fast-paced service environment.

  • Proficiency with applicant tracking and HR information systems, reporting tools, and Microsoft Office.
