Job Description
Theratime is currently looking for a Part-Time Medical Receptionist in the Sioux Falls area to join our team. Theratime is one of the leading private practice groups in Sioux Falls, supporting the area for the past 20 years. We provide services directly to clients in a variety of environments: our clinic, clients’ homes, schools/daycares, and also partner with medical clinics and other healthcare agencies.
POSITION SUMMARY
The Medical Receptionist serves as the primary point of contact and the welcoming face of our multidisciplinary therapy clinic. This role requires an empathetic, highly organized professional to manage the front desk, coordinate complex provider schedules, and support patients seeking speech therapy, occupational therapy, and mental health services. The ideal candidate will possess exceptional customer service skills, ensuring a safe, welcoming, and strictly confidential environment for all patients and their families.
This role is part time during regular business hours (between 8am-5pm). Hourly wage for this role is $18.00 to $24.00 per hour, depending on experience. The pay scale is based on your prior skills, knowledge, experience, and demonstrated work history.
KEY DUTIES AND RESPONSIBILITIES
- Patient Triaging: Greet visitors, collect insurance information, and verify intakes and medical history forms are completed. Direct patients smoothly to the appropriate discipline
- Appointment Scheduling: Direct new referrals, book, confirm, and reschedule patient appointments in person or over the phone for a multi-provider schedule. This includes balancing long-term therapy blocks, evaluation sessions, and follow-ups for speech, OT, and mental health clinicians.
- Phone Management: Answer phone calls, take accurate messages, and direct inquiries to proper departments/disciplines.
- Insurance & Billing: Process co-pays, handle outstanding account balances, set up payment plans; work with Billing Manager to communicate health benefit coverage.
- Record Keeping: Update patient files and electronic health records (EHR) while strictly following privacy rules.

REQUIREMENTS
REQUIRED SKILLS/EDUCATION
- High school diploma or equivalent
- Strong verbal and written communication skills
- Basic computer literacy and data entry skills
- Understanding of medical terminology and HIPAA privacy regulations
- Professional and empathetic customer service demeanor
OTHER KNOWLEDGE, SKILLS, AND ABILITIES
- Technical competence to use computers and electronic health record software utilized by the organization.
- Effective written and verbal communication
DESIRED QUALIFICATIONS (PREFERRED BUT NOT REQUIRED)
- 1-3 years of insurance billing, customer service, or administrative or reception experience, preferably in a healthcare setting.
- Proficiency with Electronic Health Records (EHR) or Electronic Medical Records (EMR) software.
- Working knowledge of basic medical terminology and clinic procedures.
PHYSICAL WORKING CONDITIONS
This position has been evaluated as a Level I in accordance with the Occupational Safety and Health Administration’s (OSHA) definition of Occupational Exposure to Blood Borne Pathogens. Positions in this category may be required to perform tasks which may involve exposure to blood, potentially infectious body fluids, or hazardous waste.
A full range of body motion is also required; including the ability to stoop, kneel, reach, stand and walk for extensive periods of time; push, pull and grasp items, finger dexterity, eye/hand coordination, and the ability to assist in lifting patients weighing up to 35 pounds, using proper body mechanics.
