Customer Service Representative + Accounting Assistant

Position Summary

The Accounting Assistant / Customer Service Representative will support Toradex's Sales and Finance operations by managing customer orders, invoicing, accounting activities, customer communication, and administrative coordination. The role requires strong attention to detail, good organizational skills, customer focus, and the ability to work independently and effectively with internal and external stakeholders.

Key Responsibilities

Sales & Customer Service Tasks

• Receive, review, and process customer Purchase Orders (POs) and sales orders.
• Handle order entry, invoicing, Proforma Invoices, and pre-payment requests.
• Coordinate with customers and Sales teams on orders, quotations, delivery status, and related queries.
• Maintain accurate customer records in D365 and other relevant systems.
• Provide timely and professional customer support.
• Support Sales with order administration and coordination.
• Monthly Physical Inventory Count.
• Inventory Management : Placing of intercompany orders based on incoming customer purchase orders.

Accounting & Finance Tasks

• Process vendor invoices and vendor payments.
• Generate customer invoices and record customer receipts.
• Monitor outstanding receivables and support payment follow-up.
• Record bank transactions and perform bank reconciliations.
• Post journal entries and maintain accounting records.
• Review and process employee expense claims and reimbursements.
• Assist with month-end closing, reconciliations, accruals, prepayments, and stock count.

Other Operational Tasks

• Prepare E-Invoices and E-Way Bills.
• Support import shipment clearing and related documentation.
• Maintain accurate records and ensure compliance with company processes.
• Regularly review processes and identify opportunities for improvement.
• Perform other Finance, Sales Administration, and Customer Service activities as assigned.

Key Skills & Competencies

• Strong knowledge of accounting and bookkeeping principles.
• Good customer service and communication skills.
• Excellent attention to detail and accuracy.
• Good organizational and time-management skills.
• Ability to prioritize tasks and work independently.
• Good working knowledge of MS Excel, Word, ERP/Accounting and CRM systems.
• Experience with D365 would be an advantage.
• Professional, reliable, proactive, and customer-oriented approach.
• Good coordination and follow-up skills.
