Purpose of Position
The Recreation Coordinator is responsible for planning, organizing, coordinating, and implementing programs and activities focused on youth, teens, adults, and families in the Village of Cottage Grove. The work entails general planning, development, and supervision at various locations throughout the Village.
Position Accountability
General day-to-date supervision, administrative direction, and performance evaluation will be received from the Deputy Parks, Recreation, and Forestry Director.
Supervision Exercised
This position supervises seasonal department staff and volunteers (including 25+ coaches) as directed by the Deputy Parks, Recreation, and Forestry Director.The following provides an overview of duties related to this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Coordinates, supervises, and promotes programs offered throughout the Village of Cottage Grove which may include sports, enrichment activities, trips, and special events. Responsibilities include program creation, marketing, staff selection and scheduling, regular reporting, and hands-on supervision of programs.
- Works with Deputy Parks, Recreation, & Forestry Director to organize, plan, and implement sports-related programs and activities.
- Works collaboratively with recreation staff to organize, plan, implement, and evaluate to improve sports, enrichment, family, and community-based programs and activities.
- Works with the Deputy Parks, Recreation, and Forestry Director to recruit, hire, train, and supervise seasonal and part-time personnel hired for programs and activities.
- Responds to community member requests, concerns, and complaints concerning programs and facilities.
- Coordinates programs and activities with input from participants and community members; prepares flyers, letters, brochures, calendars and media releases regarding programs and activities for publication and distribution.
- May supervise and/or conduct classes, workshops, and other activities.
- Evaluates program effectiveness through participation data, customer feedback, and financial performance and makes recommendations for future program development.
- Assists with preparation and monitoring of program budgets, including revenue projections, expenditure tracking, and recommendations for fees and charges.
- Assist in continually trying new, creative forms of program marketing to help programs reach maximum participation levels.
- Assists with operation and maintenance of the recreation registration system, including program setup, participant registration, roster management, reporting, and customer account assistance.
- Develop, prepare, and organize plans and schedules for all programs and activities.
- Maintains a friendly and cooperative relationship with Village and School District officials, community organizations, and the public.
- Organizes coaches meetings, evaluates participants, and creates teams.
- Attends scheduled staff meetings.
- Attends Parks, Recreation, & Forestry Committee, Village Board, and other committee meetings, as required.
- Assists with walk in customers and answers phone calls.
- Works varying hours to meet the needs of the programs and Department due to programs and special events being conducted outside normal office hours.
- Maintains equipment and obtains supplies as needed for programs.
- Assists in planning, development, coordination, and publishing of seasonal activity guide.
- Associates or Bachelors Degree in recreation management, leisure services, and/or public administration or a related field with one to three years of related work experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
- Must have valid Wisconsin Driver’s License, or ability to obtain one.
- Knowledge of computer applications, including but not limited to, Windows, MS Word, MS Excel, Publisher, Canva, and CivicRec Software.
- General customer service experience.
- Ability to effectively present information and respond to questions from patrons.
- Ability to follow detailed directions.
- Ability to establish and maintain cooperative relationships with associates, program participants, and the public.
- Ability to be creative and work independently within a team atmosphere.
- Ability to communicate both verbally and in writing.
- Ability to travel throughout the community to check the status of recreation programs and inspect work and facilities.
- Willingness to maintain skills in above mentioned areas through active participation in appropriate continuing education activities.

- Employee is regularly exposed to outside weather conditions during all seasons of the year.
Regular office hours are from 8 a.m. to 4:30 p.m. Monday – Thursday, 8 a.m. to 2 p.m. Fridays. This position will require regular work outside of these established office hours to support programming.
