Overview
We are looking for a highly organized, proactive, and detail-oriented Personal Assistant to provide comprehensive support to the leadership team.
This role is critical to ensuring the smooth day-to-day coordination of executive activities, including complex calendar management, meeting scheduling, administrative support, and stakeholder coordination.
The successful candidate will serve as a key point of contact between leadership and internal and external stakeholders, helping to maintain efficient communication, streamline processes, and ensure a professional and welcoming environment for visitors, clients, and business partners.
This position is ideal for someone who thrives in a fast-paced environment, demonstrates exceptional organizational skills, exercises sound judgment, and can handle sensitive and confidential information with discretion.
Responsibilities
Time Management & Coordination
- Manage and optimize calendars and daily schedules.
- Schedule meetings and conference calls.
- Coordinate internal events.
Administrative & Financial Support
- Process expense reports and provide general administrative support.
Communication & Stakeholder Management
- Act as the primary point of contact between leadership and internal and external stakeholders.
- Welcome and assist clients, partners, and key visitors at the office.
Executive Personal Support
- Provide support with occasional personal administrative tasks for the leadership team.
Qualifications
- Previous experience as Executive Assistant, Personal Assistant, Office Manager, or similar administrative support roles.
- Excellent verbal and written communication skills and able to deal with people at all levels across a multicultural environment.
- Strong problem-solving skills and the ability to work independently.
- High level of professionalism, discretion, and confidentiality.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Methodical, organized, excellent attention to detail and stickler for accuracy.
- Proactive team player who has experience of and has enjoyed working as part of a team.
- Ability to take constructive feedback in stride and incorporate feedback quickly.
- Fluency in English; additional languages are a plus.
- Proficiency in Microsoft Office tools, particularly Outlook, Word, Excel, and PowerPoint.
