About the Role

We are looking for a proactive, detail-oriented, and organised HR professional to manage day-to-day HR operations and support key activities across the employee lifecycle. The role will primarily focus on HR documentation, employee data management, HRMS administration, onboarding and offboarding, payroll coordination, and vendor and consultancy management.

The ideal candidate should have strong administrative and analytical skills, excellent proficiency in MS Excel, and the ability to independently manage HR operational processes while ensuring accuracy, confidentiality, and compliance.

Key Responsibilities

1. HR Documentation & Compliance

• Independently prepare and process offer letters, employment contracts, confirmation letters, and exit-related documentation.
• Ensure timely and accurate maintenance of employee records and HR documentation.
• Verify employee documents and ensure adherence to internal HR policies and compliance requirements.

2. HR Data Management & Reporting

• Maintain, update, and regularly audit employee databases and HR Information Systems (HRIS).
• Prepare weekly and monthly HR reports, dashboards, and operational data summaries.
• Use intermediate-to-advanced Excel functions, including VLOOKUP, Pivot Tables, formulas, and data validation, to ensure data accuracy and generate insights.

3. Onboarding & Offboarding

• Coordinate end-to-end onboarding activities, including employee documentation, HRMS updates, system access, and joining formalities.
• Manage employee exit processes, including clearance documentation, exit records, and coordination for full-and-final settlement inputs.
• Ensure a smooth and structured employee transition throughout the onboarding and separation processes.

4. HRMS Administration & Payroll Support

• Ensure accurate and timely updates of employee information, attendance records, leave balances, and other HRMS data.
• Support payroll processing by maintaining accurate employee and attendance-related records.
• Track and process operational invoices and coordinate with relevant internal stakeholders for timely resolution.

5. Employee Support & HR Operations

• Act as the primary point of contact for routine employee queries related to HR policies, documentation, attendance, leave, and HRMS.
• Manage HR-related service requests and independently resolve routine HRMS and operational issues.
• Coordinate with external vendors and consultants, maintain engagement records, and support invoice verification and processing.

Required Qualifications & Experience

• Graduate degree in Human Resource Management, Business Administration, or a related discipline.
• 2–4 years of relevant experience in HR Operations, preferably with exposure to end-to-end employee lifecycle management.
• Strong understanding of HR documentation, employee records management, onboarding, offboarding, and HRMS administration.
• Advanced proficiency in MS Excel, including formulas, VLOOKUP, Pivot Tables, and data validation.
• Experience in HRMS/HRIS management, payroll coordination, and employee data reporting.
• Prior exposure to vendor and consultancy management, invoice validation, and basic finance coordination.
• Excellent written and verbal communication skills, with strong organisational and problem-solving abilities.
• High attention to detail and the ability to handle confidential employee information with discretion.
• Ability to work independently, manage multiple priorities, and ensure timely execution of HR processes.
