Reports to: VP Finance
Voyagu is a San Francisco-based travel management company that connects premium travelers with travel experts for better and easier trip planning, booking, and managing.
Being part of a growing billion-dollar travel industry, we already have millions in our revenue and a team of a hundred people with offices in San Francisco, Amsterdam, Warsaw, and Mexico City, and we keep expanding.
Role Summary
- Own the contractor lifecycle end-to-end, from onboarding to offboarding
- Be the main point of contact for contractors
- Make sure contractor payments are accurate, well-documented, and on time
- Support broader payroll-related processes
- Bring together operations, documentation, and financial tracking in one role
Payroll & Compensation Responsibilities (Core Focus)
- Manage the contractor payment process from start to finish (gathering data, checking it, preparing it for payout)
- Make sure signed contracts, agreed rates, and actual payments all line up
- Double-check payment details (rates, bonuses, adjustments) before they're sent to Finance
- Help prepare monthly contractor payroll files
- Calculate and verify variable pay (bonuses, incentives, commissions)
- Keep a clear record of compensation changes (rate updates, one-off payments, corrections)
- Spot differences between expected and actual payments, and help resolve them
- Work with Finance and external providers to keep payouts accurate and on schedule
- Maintain an organized record of rates, payment terms, and payment history
- Help keep everything audit-ready, so payments can always be traced back to contracts and approvals
Reporting & Financial Visibility
- Put together regular contractor payroll reports (monthly and ad hoc)
- Give visibility into total contractor costs (by team, function, or location)
- Compare planned vs. actual payments and help explain any differences
- Keep compensation and payment data organized and up to date
- Support Finance with forecasting contractor-related costs
- Build and maintain simple dashboards and reports in Excel or Google Sheets
- Help keep compensation data clear, consistent, and easy to double-check
What We're Looking For (Must Have)
- 1+ years of experience in a role that required accuracy, structure, and attention to detail — for example in sales operations, customer service, people/HR operations, finance, or general operations
- Comfortable working with numbers, spreadsheets, or structured data day-to-day
- Solid Excel / Google Sheets skills (formulas, basic data checks — we're happy to help you build on this further)
- Used to juggling multiple tasks and deadlines at once
- Naturally detail-oriented — you notice when something doesn't add up
- Comfortable working in a structured, process-driven environment
- Fluent English (written and spoken)
Nice to Have
- Experience with payroll, compensation, or financial operations
- Experience working with contracts, invoices, or formal documentation
- Experience with contractor or freelance-based work models
- Familiarity with Polish payroll or EU contractor setups
- Experience with variable compensation models (bonuses, commissions)
- Experience working with external payroll providers
- Basic understanding of accounting or financial reconciliation
- Experience building reports or dashboards
If you're great with numbers, highly organized, and looking to grow into a specialized finance/HR-adjacent role — we'd love to hear from you, even if your current title doesn't look like an obvious match on paper.
