Licensing Coordinator

Job Summary

VIZ Media, the world leader in English-language versions of manga and anime (Japanese comics and animation), is looking for a Licensing Coordinator to support our CPG Licensing & Promotions department. The Licensing Coordinator supports the Consumer Products Licensing team by coordinating day-to-day licensing operations across multiple entertainment properties and licensed categories. This role serves as a central point of coordination between internal departments, licensors, licensing agents, and licensees to ensure licensing deals, approvals, reporting, and product lifecycles progress efficiently and on schedule. The Licensing Coordinator manages deal workflow, tracks approvals, prepares presentations and business materials, and supports partner, licensor, and cross-functional communications. This position is ideal for a highly organized, detail-oriented individual looking to build a career in consumer products licensing, entertainment, or brand management.

What you’ll do:

• Coordinate day-to-day administrative support for the Consumer Products Licensing team across multiple product categories and territories.
• Prepare Deal Memos and supporting documentation for internal and licensor approval.
• Track licensing opportunities from deal submission through execution using internal project management systems.
• Maintain accurate records of licensees, agreements, product categories, approvals, reporting, and key business milestones.
• Coordinate execution of licensing agreements with Licensing, Contracts, Finance, and external partners.
• Monitor renewal timelines and contract expiration dates, proactively notifying Licensing Managers of upcoming deadlines.
• Assist in onboarding new licensees 
• Serve as a liaison between licensees, licensing agents, licensors, and internal departments including Contracts, Product Development, Brand Assurance/Approvals, Marketing, Finance, and Legal.
• Track approval timelines and follow up with internal and external stakeholders to ensure timely completion.
• Assist with overdue payment and forecast reconciliation.
• Coordinate sample requests for licensors, partners, internal stakeholders, and marketing initiatives

In addition to these responsibilities, perform other activities as assigned.

The ideal candidate has:

• 1–3 years of experience in licensing, consumer products, entertainment, or administrative support.
• Exceptional organizational skills with the ability to manage multiple projects simultaneously.
• Strong attention to detail and commitment to accuracy.
• Excellent written and verbal communication skills.
• Proficiency in Google Suite, Microsoft Office, My Media Box, Canva, Asana, and Slack.
• Ability to manage competing priorities and meet deadlines in a fast-paced environment.
• Strong interpersonal skills with the ability to collaborate across multiple teams and external partners.
• Bachelor's degree or equivalent combination of education and experience.

Nice to have:

• Japanese language proficiency (reading, writing, and speaking) strongly preferred.
• Experience working with licensors or international business partners.
• Experience with royalty reporting or licensing administration.

Work Environment & Schedule

Location: The Licensing Coordinator position is open to candidates local to the San Francisco Bay Area. VIZ Media operates on a hybrid schedule, and the Licensing Coordinator should expect to work onsite at our Downtown San Francisco office 2 times per week. There may be some required travel for this position to attend conventions or trade shows.

Schedule: This is a Regular Full-Time position with flexibility in working hours outside of our core hours of 10:00am - 4:00pm.

Compensation: $65,000 - $75,000 annually, depending on experience, with additional variable compensation
