Job Description:
Parsons is seeking a highly specialized and experienced Document Controller (Saudi National) to join our critical team on the prestigious Qiddiya Project in Riyadh.
The Document Controller will manage the intake, organization, tracking, and archiving of all technical, operational, and financial documentation for the Asset Management team.
Using Oracle Aconex as the primary platform, this role ensures that all operation manuals, as-built drawings, warranties, and maintenance procedures are accurately registered and easily accessible. This position is vital for a smooth "handover" process as newly built properties transition from construction into live city operations.
What you'll be doing:
1. Aconex System Administration & Data Entry
Register, log, and classify incoming drawings, operations and maintenance (O&M) manuals, and technical documents within Oracle Aconex.
Ensure all files strictly follow established naming rules, metadata fields, and numbering systems.
Distribute documents to the correct asset directors and technical teams using automated Aconex workflows and transmittals.
Keep the master document log updated in real time to ensure team members always use the latest file versions.
2. Asset Management & Handover Support
Support the asset integration team during the "Digital Vesting" phase, verifying that construction contractors upload all required manuals and warranty papers.
Sort and catalog documentation into specific asset categories (e.g., roads, parks, utilities) within the document management platform.
Help retrieve specific technical manuals or structural blueprints quickly when field teams need them for urgent infrastructure repairs.
3. Quality Control & Quality Assurance
Check uploaded documents for basic quality standards, ensuring files are readable, properly formatted, and contain correct revisions.
Flag and return incomplete or incorrectly named document submissions to contractors or project teams for fixing.
Assist in conducting routine internal audits of the document database to ensure no critical files are missing.
What required skills you'll bring:
Education: Diploma or Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
Experience: 0 to 3 years of experience in technical document control within construction, real estate, facility management, or engineering environments.
Mandatory: Hands-on experience or formal training with Oracle Aconex (basic knowledge of transmittals, workflows, and document registers is required)
Good proficiency with standard office tools, including Microsoft Excel, Word, and Adobe Acrobat PDF editing.
Basic understanding of how technical drawings, blueprints, and operation manuals are organized.
Strong attention to detail with an ability to spot spelling or numbering errors quickly.
Solid communication skills to follow up with contractors and project managers regarding missing files.
Good time-management skills to process large volumes of incoming files without creating backlogs.
