ESSENTIAL JOB FUNCTIONS:

  • Lead volunteer recruitment for individuals and groups through diverse internal and external outreach channels.
  • Screen and onboard new volunteers for a wide range of organizational events, projects, and assignments.
  • Partner with Marketing to create and maintain recruitment collateral, including position descriptions, applications, and promotional outreach materials.
  • Build community partnerships with schools, local businesses, and community organizations to expand the volunteer pipeline.
  • Act as the primary point of contact for all volunteers, proactively addressing inquiries, feedback, and support requests.
  • Partner with the Development Department to steward corporate, foundation, and individual donors who engage through volunteerism.
  • Identify engagement opportunities to deepen donor relationships via unique volunteer experiences, event participation, and site visits.
  • Track donor-volunteer interactions and share relevant insights with Development staff to support broader fundraising and donor relationship management.
  • Maintain the volunteer database within the Donor Management System, tracking orientations, training, interests, and participation history.
  • Manage compliance documentation, including applications, required paperwork, standard background checks, scheduling, and standard operating procedures (SOPs).
  • Track impact metrics such as volunteer hours, participation rates, and program outcomes to support grant reporting and organizational metrics.
  • Develop and update volunteer program forms, policies, handbooks, and specialized position descriptions as needed.
  • Design appreciation initiatives and coordinate recognition events to celebrate and honor volunteer contributions.
  • Manage external award nominations to highlight outstanding individual or group volunteer service.
  • Represent Veterans Inc. at external community meetings, volunteer fairs, and regional networking opportunities.
  • Actively participate in internal Veterans Inc. event planning and department meetings.
  • Execute other duties as assigned by leadership.

Knowledge, Skills, and Abilities:

  • Ability to maintain strict confidentiality and exercise high integrity when handling sensitive volunteer, donor, and organizational data.
  • Ability to work a flexible schedule, including regular evenings and weekends, to align with volunteer availability and event timelines.
  • Knowledge of basic database management (or willingness to learn), spreadsheet software, and digital communication tools (e.g., Excel, Google Workspace, email marketing platforms).
  • Ability to communicate clearly and enthusiastically through phone, email, and in-person presentations to recruit and engage diverse groups of people.
  • Strong interpersonal skills with the ability to build rapport and maintain positive relationships with community volunteers and internal staff.
  • A customer-service-oriented mindset that ensures volunteers feel valued, respected, and well-supported.
  • Skill in time management and multitasking to coordinate multiple volunteer schedules and event logistics simultaneously.
  • Ability to adapt quickly to changing circumstances, unexpected schedule shifts, or fast-paced event environments.

Minimum Education and Experience Required:

  • Bachelor's degree in nonprofit management, human services, communications, public administration, business administration, social services, or a related field required. Equivalent military experience may be considered in lieu of a degree.
  • Minimum of 0 to 2 years of relevant experience in volunteer coordination, nonprofit administration, community engagement, program coordination, customer service, event coordination, or a related field.
