About the Job
- Supporting the day-to-day coordination of digital transformation projects, including Workday initiatives and other digital projects and AI related projects, across the full project lifecycle.
- Maintaining project plans, timelines, action logs, risk and issue trackers, meeting notes and decision records, so that progress and dependencies stay clear for everyone involved.
- Evaluating project KPIs, status reports and metrics to track project health, surface insights and identify clear opportunities for improvement and growth.
- Facilitating project ceremonies and working sessions, including planning sessions, stand-ups and retrospectives, and turning the outcomes into concrete, owned actions.
- Preparing status updates, dashboards and presentations for project leads and steering forums in clear, accurate and concise form.
- Coordinating with internal stakeholders across global, regional and local teams, as well as partners in functions such as HR, IT, Finance and Communications.
- Coordinating with external vendors and implementation partners where applicable, including scheduling, tracking deliverables and following up on open points.
- Supporting change and communication activities connected to project rollouts, so that the people affected understand what is changing and why.
- Following through on tasks and open items, flagging risks early and helping the team find practical solutions.
- Helping to design and roll out project management governance and standards for Global HR, including templates, reporting cadences and ways of working, and then supporting the gradual scaling of these standards across regional and local HR teams.
About you
This is a hands-on role for someone early in their project management career who is strategic, organized, dependable and genuinely interested in how digital change happens inside a global organization.
Must-have
- At least two years of experience in project coordination or project management, ideally within digital transformation, HR, IT or operations.
- A completed degree in business, HR, information systems, project management or a related field, or equivalent practical experience.
- A solid project management toolkit, covering planning and scheduling, risk and issue management, stakeholder management, and progress reporting.
- Familiarity with agile ways of working and a practical, impact-driven mindset that connects daily tasks to wider goals.
- Facilitation skills, including the confidence to run structured sessions such as retrospectives, working sessions and stand-ups.
- The ability to work with project KPIs and reports, read what the numbers are telling you, and translate them into practical recommendations.
- Strong written and spoken English, which is our working language in this role.
- The ability to work reliably within the Central European (German) time zone, regardless of your home location.
- Strong organizational skills, attention to detail and the ability to manage several workstreams in parallel.
- Confident communication and stakeholder management across different cultures and seniority levels.
- Comfort working with digital collaboration and project tools.
Nice-to-have
- Exposure to Workday or another HRIS platform.
- A project management qualification, or progress toward one, such as PRINCE2, PMP, IPMA or a recognized agile or Scrum certification.
- Experience coordinating external vendors or implementation partners.
- Experience in a global, matrixed organization, ideally in logistics or another international service industry.
