We are seeking a highly organized and detail-oriented Internal Service Advisor to support our Used Vehicle Department. This position serves as the primary liaison between the Service Department and Sales Department, ensuring used vehicle reconditioning is completed efficiently, accurately, and on schedule.
The ideal candidate is proactive, possesses strong communication skills, and thrives in a fast-paced dealership environment.
Primary Responsibilities
- Open, monitor, and close internal used vehicle repair orders.
- Coordinate vehicle inspections and reconditioning with service technicians and shop foremen.
- Prepare accurate repair estimates and communicate pricing to the Sales Department for approval.
- Prioritize used vehicle repairs to meet inventory readiness and delivery timelines.
- Verify all repair orders are completed accurately, including technician stories, labor operations, parts, and supporting documentation.
- Review completed paperwork to ensure compliance with dealership and manufacturer standards.
- Process and reconcile vendor invoices.
- Create purchase orders for outside vendors and monitor outstanding balances.
- Coordinate repairs with outside vendors when necessary.
- Communicate repair status and completion timelines to the Sales Department.
- Ensure repair costs remain within approved budgets whenever possible.
- Track vehicle status throughout the reconditioning process.
- Maintain organized records for repair orders, invoices, and purchase orders.
- Assist management with reporting, cost tracking, and process improvements.
Perform other administrative and operational duties as assigned
Requirements
- Previous dealership experience preferred.
- Experience as a Service Advisor, Warranty Administrator, Service Administrator, or similar automotive role is highly preferred.
- Strong understanding of automotive repair terminology and repair order processes.
- Excellent organizational and time management skills.
- Ability to multitask in a fast-paced environment.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
