OUR MISSION:

This role is preferred in Austin, TX and follows a fixed hybrid schedule, requiring two designated in‑office days per week at our Austin location and three remote workdays. If outside of Austin, must be in Texas, and will require designated time in a local venue per week.
CORE ROLE RESPONSIBILITIES
Work Order & Vendor Management
- Manage the full work order lifecycle in ServiceChannel for assigned venues — triage, prioritization, vendor dispatch, and follow-through to resolution; post daily update comments on any work order aging past 30 days
- Own vendor relationships for the assigned region: sourcing, onboarding (COI, W-9, ACH, pricing, certifications, Code of Conduct), performance review, and RFP participation for large-format or CapEx work
- Review and act on proposals and invoices daily; approve, reject, or hold proposals per company thresholds ($5,000 FM approval level); ensure all invoices are reviewed and submitted by end of day Thursday
- Monitor vendor check-in/check-out compliance at every venue visit and coach vendors accordingly
Asset & Data Management
- Maintain complete asset records in ServiceChannel (photos, serial/model numbers, install dates, warranty status) and physically tag new assets with QR codes at installation
- Track asset-level and work/material warranties through their full lifecycle — including SC location note headers and Issues List Conditions — to prevent blind dispatch on warranty-covered repairs
- Apply the company repair-vs-replace rubric (asset age, condition, cumulative repair spend vs. replacement cost) when evaluating major repair proposals
- Maintain ServiceChannel data discipline for assigned venues: work-order-to-asset attachment, accurate location notes, and correct Issues List trade/condition configuration
Financial & CapEx
- Provide monthly CapEx inputs and flag long-lead items at least three months ahead
- Minimize accrual costs by reviewing closed work orders without invoices and requesting prompt submission
Relationship & Communication
- Maintain regular communication with venue management teams, General Managers, and Directors of Operations; hold recurring GM check-ins and at least biweekly 1:1s with DOs for above-store alignment
- Communicate any revenue-disrupting issues to Operations promptly, with an ETA to restore functionality where available
- Participate in Monday Priorities and Friday Department meetings, and hold a weekly or biweekly 1:1 with the Sr. Director, Facilities
Compliance & Safety
- Maintain current knowledge of local and state safety codes
- Oversee and track recurring compliance inspections (fire/life safety, backflow, hood cleaning, and related requirements)
- Immediately engage authorities when a threat to health or safety arises, and support post-incident recap documentation shared with Legal, People, Operations, and Facilities
- Conduct the annual facilities audit with the venue GM and/or DO, documenting findings with photos and submitting an action plan within one week
Preventative Maintenance & Training
- Execute a preventative maintenance calendar for all critical equipment, inclusive of proactive reviews and routine inspections
- Develop training materials in partnership with Operations and Training teams
- Uphold standards of behavior as defined by the company's Core Values, Code of Conduct, and Operational Guidelines
After-Hours & Emergency Response
- Provide after-hours and emergency response support for assigned venues as part of the department's on-call coverage
QUALIFICATIONS
- 5+ years of progressive experience in a facilities maintenance role within a multi-unit, multi-state concept
- Strong working knowledge of: HVAC, Electrical, Plumbing, Kitchen Equipment, Refrigeration (including ice machines), and General Maintenance
- 3+ years of experience with CMMS platforms; direct ServiceChannel experience strongly preferred
- Vendor management or procurement experience — sourcing, onboarding, and managing performance across a multi-trade vendor network
- Asset lifecycle and warranty management experience preferred
PHYSICAL REQUIREMENTS
- The ability to lift 25–50 pounds regularly
- The ability to respond quickly to sounds
- The ability to move safely over uneven terrain or in confined spaces
- The ability to see and respond to dangerous situations
- The ability to safely climb ladders while carrying 20 pounds
- The ability to wear personal protective gear correctly for extended periods
