Project Planning & Logistics Manager | Procurement & Supply Chain | Jobs in Dubai

About the Role

Our client is seeking a Manager – Project Planning & Logistics to manage project planning, procurement, freight, logistics and operational coordination across projects in the UAE and wider GCC.

This is a broad operational role with a strong focus on procurement, combining project scheduling, local and international logistics, supplier management, crew mobilisation, fleet and equipment coordination, customs documentation and site support.

The successful candidate should be comfortable working in a fast-paced, project-based environment where multiple projects, suppliers, shipments, crews and deadlines must be coordinated simultaneously.

Key Responsibilities

• Project Planning: Develop, maintain and monitor detailed project execution schedules, track planned versus actual progress, and identify delays, bottlenecks and operational risks.
• GCC Logistics: Coordinate local and international freight movements across the GCC, working with customs brokers, freight forwarders, transport companies, suppliers and relevant authorities.
• Freight Coordination: Source and book trucks, monitor vehicle movements, oversee loading activities, and coordinate import and export logistics through to final delivery.
• Customs Documentation: Prepare and manage shipping documentation including Chamber of Commerce forms, CIPL documentation, customs requirements and other required approvals.
• Procurement Management: Source and procure goods and services, evaluate suppliers, negotiate commercial terms and ensure purchases meet required quality, quantity, cost and delivery standards.
• Supplier Management: Monitor supplier production schedules, material lead times, dispatch dates and expected delivery dates, following up proactively to prevent project delays.
• Resource Mobilisation: Prepare project mobilisation plans covering procurement, materials, manpower, equipment and logistics, ensuring the required resources are available when needed.
• Crew Coordination: Organise crew allocation, travel itineraries, accommodation, transportation, visas, work permits, site permits, accreditation and required HSE training.
• Fleet Administration: Maintain accurate records for company vehicles, machinery and equipment, coordinate servicing and allocation, and manage required renewals and licences.
• Progress Reporting: Monitor site progress, coordinate with Project Managers, warehouse teams and project foremen, resolve operational shortfalls and maintain accurate daily project reporting.

Candidate Requirements

• Relevant Experience: 8–12 years of relevant experience within project-based, manufacturing, events, logistics, supply chain or related operational environments.
• Regional Knowledge: Strong understanding of local and international freight operations, customs requirements and logistics regulations across the GCC and MENA region.
• Procurement Capability: Proven ability to source suppliers, negotiate contracts and pricing, manage purchasing activity and monitor supplier performance and delivery commitments.
• Project Coordination: Experience managing project schedules, mobilisation requirements, resources, materials, manpower, equipment and multiple operational deadlines.
• Technical Proficiency: Proficiency with logistics, project management and related operational software and tools.
• Communication Skills: Strong communication, coordination and negotiation skills with the ability to work effectively with suppliers, contractors, project teams and external authorities.
• Relevant Qualification: Bachelor's degree in Logistics, Supply Chain Management or a related field is preferred.
• Travel Availability: Willingness and ability to travel across GCC countries as required to support project and logistics operations.

Experience working with multinational project teams and GCC-based clients would be advantageous.
