Job Description:
Leads diverse administrative functions usually for a large department or for a complete business unit. Functions may include: financial control/budgeting and consolidation, personnel processes, audit/compliance, premises, and coordination of certain projects, associate training, service quality, process improvement, business continuity, or communication. Administers bank programs and policies and may direct the development of the department's administrative policies and procedures. Requires a thorough knowledge of the department's or business unit's functional operations. Working knowledge of general bank policies, programs and procedures and financial/accounting practices. May direct workflow activities.

Functional Description:

This job is responsible for providing administrative, operational, and organizational support to senior leaders while serving as a key resource for broader team and organizational initiatives. The Business Support Lead I acts as the primary executive support partner for designated leaders and also provides coordination and execution support across the Global Financial Crimes (GFC) organization.

Key responsibilities include managing executive calendars and travel, coordinating meetings and events, supporting employee engagement activities, facilitating communications, assisting with organizational initiatives, and contributing to cross-functional projects. The role serves as a central point of coordination across leadership, employees, and business partners to help drive operational effectiveness, foster employee engagement, and support execution of organizational priorities.

Core Responsibilities
Executive and Administrative Support
•    Provides primary executive support for one or more senior leaders, including proactive calendar management, meeting coordination, and scheduling prioritization.
•    Coordinates domestic and international travel arrangements, ensuring efficient use of executive time and adherence to company policies.
•    Processes and tracks travel and business expenses in an accurate and timely manner.
•    Prepares meeting materials, presentations, agendas, and briefing documents to support leadership meetings and executive preparedness.
•    Manages correspondence, communications, and requests requiring confidentiality, discretion, and professional judgment.
•    Serves as a liaison between executives, employees, and business partners to facilitate efficient communication and follow-up.
Organizational and Team Support
•    Supports day-to-day operational needs of the leadership team and broader organization.
•    Assists with onboarding activities for new employees, including coordination of technology, workspace, access requests, orientation meetings, and team introductions.
•    Provides local employee support by helping connect associates with resources, answering questions, and facilitating issue resolution.
•    Supports organizational communications, announcements, and team updates.
•    Maintains organizational charts, distribution lists, team rosters, and other operational resources.
Meeting, Event, and Employee Engagement Coordination
•    Coordinates in-person meetings, leadership off-sites, employee forums, town halls, and team events.
•    Manages meeting logistics, including venue selection, catering, technology requirements, agendas, materials, and attendee communications.
•    Supports employee engagement initiatives, recognition programs, volunteer activities, and culture-building efforts.
•    Partners with leaders and stakeholders to execute activities that enhance employee experience and organizational connectivity.
•    Tracks event budgets, registrations, attendance, and post-event follow-up actions.
Project and Business Execution Support
•    Participates in cross-functional projects and organizational initiatives by coordinating meetings, tracking deliverables, and supporting project execution.
•    Assists leaders in monitoring action items, milestones, and key deliverables to ensure timely completion.
•    Develops and maintains reports, presentations, trackers, and documentation supporting business priorities.
•    Identifies opportunities to improve administrative and operational processes and contributes to implementation of enhancements.
•    Supports special projects and ad hoc assignments that advance organizational goals and leadership priorities.
Relationship Management and Collaboration
•    Builds effective working relationships across teams, functions, and management levels.
•    Collaborates with business partners including Human Resources, Corporate Security, Technology, Facilities, Finance, Communications, and Administrative Support teams.
•    Demonstrates professionalism and sound judgment when handling sensitive or confidential information.
•    Supports a positive team culture through responsiveness, collaboration, and a service-oriented mindset.

Required Qualifications
•    Demonstrated administrative, executive support, operations, project coordination, or business support experience.
•    Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
•    Excellent verbal and written communication skills.
•    Proficiency with Microsoft Office applications, including Outlook, PowerPoint, Excel, Teams, and Word.
•    Strong attention to detail and commitment to quality.
•    Ability to exercise discretion and maintain confidentiality.
•    Proven ability to work independently while partnering effectively with diverse stakeholders.
•    Strong customer service and relationship management skills.

Preferred Qualifications
•    Experience supporting senior leaders or executive-level management.
•    Experience planning events, meetings, or employee engagement activities.
•    Experience coordinating cross-functional projects or initiatives.
•    Knowledge of financial services, risk management, compliance, or corporate operations environments.
•    Experience working within a large, matrixed organization.
