Projects & Operations Coordinator
Job Purpose:
Our client is seeking a Projects & Operations Coordinator to support the successful delivery and operational handover of strategic utility projects. The role will coordinate project activities, contractor performance, stakeholder communication, reporting, and contract execution across public and private sector clients. This customer-facing position will coordinate project delivery from initiation through to project closure and operational handover. The successful candidate will be responsible for ensuring that project activities and day-to-day operations are well coordinated, aligned with strategic objectives, and delivered efficiently. The role requires a high level of independence, strong cross-functional collaboration, and disciplined project coordination to ensure successful project execution and operational continuity.
Responsibilities & Skills:
Project Delivery & Coordination
- Oversee all data preparation and collection for projects, including project documentation.
- Apply project management methodologies and activities to develop and execute project plans, schedules, budgets, control points, and resource allocation.
- Conduct risk assessments, monitor project risks, and provide regular status reporting.
- Manage day-to-day project scope, including meetings, status coordination, project schedules, plans, and financials.
- Identify and report any deviations from approved schedules, scope, and budgets, with recommendations to bring projects back on track.
- Manage multiple projects and project-related activities simultaneously.
- Coordinate technical projects and continuous improvement initiatives.
Operations & Contract Management
- Coordinate and take responsibility for the operational execution of private and public sector contracts within the strategic projects portfolio.
- Ensure alignment between contract requirements and project deliverables.
- Develop, implement, and monitor Service Level Agreements (SLAs) for private and public sector clients.
- Ensure all deliverables are completed within agreed SLA timelines.
- Maintain regular communication with clients regarding project deliverables and schedules on a daily, weekly, and monthly basis.
- Build and maintain strong client relationships.
- Ensure compliance with required health and safety standards for contractors and field staff.
Stakeholder Engagement & Administration
- Engage with various stakeholders and collaborate effectively with cross-functional teams.
- Promote a professional and strategic image of project capabilities.
- Monitor and manage project reporting, including client and contractor meeting minutes and action items.
- Track and follow up on outstanding actions to ensure timely completion.
- Protect company and customer information assets, ensuring confidentiality, integrity, and availability.
Qualifications & Experience:
- Minimum of 7 years’ experience in project management and/or operations.
- Relevant tertiary qualification, such as:
- BEng/BTech in Electrical or Civil Engineering
- National Diploma in Electrical or Civil Engineering
- Project Management qualification
- Professional project management certification or membership, such as PMP or PMI, would be advantageous.
- Experience within the public and private utility sectors, particularly electricity and water, would be advantageous.
- Excellent written and verbal communication skills.
- Valid driver’s licence and own reliable transport, as occasional travel may be required.
- Strong interpersonal and relationship-building skills.
- High level of self-motivation and initiative.
- Ability to work independently and manage responsibilities with minimal supervision.
