The Executive Assistant (EA) provides practical, detailed executive and administrative support to the CEO, Health, ensuring the efficient operation of the CEO's office and enabling effective engagement with internal and external stakeholders.
A core purpose of the role is to help the CEO spend time and energy in the right places through strong gatekeeping, sharp prioritization, and proactive anticipation of needs, questions, and follow-ups before they arise.
In addition to supporting the CEO, the role provides administrative and coordination support to the wider Group Health team as required, helping ensure smooth execution of team activities, meetings, events, and operational priorities.
Key Responsibilities
Executive Support to CEO, Health
- Manage the CEO's calendar with strong gatekeeping, ensuring the CEO's time and energy are focused on the areas where the CEO can add the most value.
- Coordinate and schedule meetings across multiple time zones and stakeholder groups.
- Manage travel arrangements by building detailed itineraries and taking ownership of all logistical requirements before, during, and after travel.
- Maintain confidentiality and handle sensitive business information with discretion and professionalism.
- Provide proactive, practical, and detailed support by anticipating questions, needs, dependencies, and next steps before escalation is required.
- Manage core administrative processes, including expense claims, delegated approvals, documentation, and other operational follow-ups, with accuracy and attention to detail.
- Work independently with sound judgement, escalating only when needed and minimising the need for day-to-day handholding.
- Build strong internal relationships with other EAs and relevant colleagues to coordinate priorities, unblock issues, and get work done effectively.
Group Health Team Support
- Coordinate Group Health leadership meetings and ensure agendas, papers, and minutes are prepared and distributed on time.
- Assist with scheduling and logistics for team meetings, employee engagement activities, onboarding sessions, and leadership visits.
- Act as the main point of contact of the team for operational and logistical support needed for onboarding and offboarding team members.
- Act as a central point of contact for general administrative requests within the Group Health team.
Qualifications & Experience
Experience
- Minimum 5–8 years of experience supporting senior executives, preferably C-suite or regional leaders.
- Experience working in a multinational, matrix organization.
- Proven ability to manage complex calendars, travel arrangements, and executive priorities.
- Experience coordinating leadership meetings, events, and cross-functional initiatives.
- Experience operating independently in a fast-paced executive environment and working through networks and internal stakeholders to deliver outcomes.
