- Performs a variety of storekeeping activities, including the receipt, inventory, storage, and issuance of stock related to automotive fleets, fuel, streets, operations and utilities; initiates purchase orders and purchase requisition orders; purchases, receives, stores, distributes, and maintains an adequate inventory of materials, supplies, parts, tools, and equipment; ensures proper accounting and record keeping.
- Prepares or assists in the preparation of purchase orders; charges purchases to and monitors various account budgets; receives and fills requisitions for specialized orders; processes invoices for inventory control in the City’s software program; maintains receiving and accounting records; resolves accounting and receiving discrepancies; maintains the automatic inventory system.
- Receives incoming shipments and deliveries; arranges and coordinates delivery of purchased supplies and materials; inspects materials, supplies, and equipment for quality, quantity, and correctness.
- Unloads pallets and bulk materials using a forklift; verifies and checks items received against purchase orders and catalogs manufacturer model numbers; returns defective or warranty related materials to vendor.
- Notifies appropriate parties of shipment arrival; arranges for delivery to appropriate offices.
- Maintains cleanliness, security, and safety within stores area; reports needed repairs to appropriate personnel.
- Keeps and maintains organized inventory of parts and materials; keeps abreast of new materials and product lines within the industry.
- Conducts research to establish the best and most cost-effective source of supplies; develops specifications and bids.
- Maintains vendor lists, supply catalogs, and related records; serves as a liaison between mechanics and vendors; negotiates prices; prepares special and routine reports as needed.
- Coordinates and participates in the annual physical audit/count for fleet, operations, street, and utility division inventory and supplies.
- Enters, retrieves, prints, and generates vehicle, equipment, and work order reports from computer information system; maintains equipment maintenance records.
- Picks-ups and delivers vehicles as necessary; picks-up parts and supplies as required.
- Tracks fuel usage and delivery; determines current fuel prices per gallon based on data from the City’s automated system; prepares and submits a variety of mandated fuel related report to regulatory agencies; pays fuel usage taxes; maintains the City’s fuel system.
- Files smog certificates in preparation of the annual audit by the California Department of Consumer affairs; determines and inputs units requiring smog checks into the City’s system.
- Implements annual vapor recovery testing and certification required by Southern California Air Quality Management District; coordinates annual underground storage tank monitoring system and testing certification, as required.
- Produces a variety of fleet maintenance reports; inputs new vehicles into the City’s system; monitors and updates information to ensure staff performs preventive maintenance on City units; prepares reports for the Police Department to send to the Department of Motor Vehicles; renews license plates for undercover units.
- Orders uniforms for City employees; updates employee uniforms when needed.
- Complies with City and mandated safety rules, regulations, and protocols.
- Performs other duties as assigned.

Must possess mobility to work in a standard warehouse setting and work with and around a variety of equipment, parts, and inventory, to operate a motor vehicle and forklift; strength, stamina, and mobility to perform medium physical work; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone or radio. The job involves walking and working on slippery surfaces. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator. Positions in this classification bend, stoop, kneel, reach, and climb to perform work. Employees must possess the ability to lift, carry, push and pull materials and objects weighing up to 50 pounds on average and heavier weights with the use of proper equipment and/or assistance from other staff.
