Here at UPP we currently have an exciting opportunity for an Office Administrator - Maternity Cover (10-Month Fixed-Term Contract) to join our team.
Lancaster UPP is seeking a proactive and well-organised Office Administrator to provide essential administrative support to the team during a period of maternity leave. This role is ideal for someone who enjoys working in a busy operational environment, is confident using digital systems, and can manage a varied workload with accuracy and professionalism.
This is a permanent fixed-term position working 37.5 hours per week from 8.30am to 5pm, Monday to Friday. The salary is £27, 343 per annum, pro-rated.
Role responsibilities include:
- Assist in providing a reception service to the office, keeping records of all visitors, contractors and issue of keys
- Liaise, as necessary, with the university client, sub-contractors, staff and residents
- Assist the relevant manager(s) in the co-ordination of all on-site activities and day to day administration plus the production of various reports
- Assist in the procurement of goods and services via the UPP purchase system
- Produce and receipt purchase orders for goods and services and submit them for authorisation
- Assist with managing technician resource allocation through the Planon CAFM system, ensuring tasks are assigned appropriately and progress is monitored
- Update and maintain records within Planon to support efficient workflow management
- Upload, organise, and maintain documents on SharePoint, including monitoring and updating insurance documents, certificates and compliance information
- Provide day-to-day administrative support to the wider team, including handling enquiries, preparing documents, and maintaining office systems
- Support the smooth running of the office by managing supplies, coordinating deliveries, and liaising with internal and external stakeholders
Skills & Experience Essential:
- Strong administrative experience in a busy office environment
- Confident using digital systems such as Microsoft Office including SharePoint (but not essential as training can be provided)
- Excellent organisational skills with strong attention to detail
- Ability to manage multiple tasks and deadlines effectively
- Clear and professional communication skills
- A proactive, flexible approach and willingness to support colleagues
