Description

The Administrative Services Manager provides operational leadership and high-level administrative support at the University of New Hampshire at Manchester. Working closely with the Dean, academic leadership, department chairs, faculty, and staff, the position ensures the effective coordination of day-to-day administrative functions across the Dean's Office, academic units, and campus.

The position also serves as the primary executive administrative support to the Dean,, managing complex scheduling and priorities, coordinating meetings and communications, preparing and organizing materials, supporting follow-up on key initiatives, and handling sensitive and confidential matters with a high degree of judgment and discretion. The Administrative Services Manager anticipates needs, facilitates communication and coordination across internal and external stakeholders, and helps ensure that the Dean's time and attention are effectively aligned with institutional and college priorities.

More broadly, the Administrative Services Manager serves as a central point of operational coordination for the college, helping translate institutional processes into effective local operations and ensuring that faculty, staff, students, and academic leaders receive timely and consistent administrative support. The role requires significant initiative, independent judgment, strong organizational and problem-solving skills, and the ability to manage multiple priorities in a dynamic and complex academic environment.

Duties/Responsibilities

Dean's Office & Executive Operations (25%)

  • Serve as a key administrative and operational partner to the Dean/Campus Director, coordinating priorities, meetings, communications, information flow, briefing materials, and follow-through.

  • Research issues, gather and analyze information, and prepare reports and materials to support executive decision-making.

  • Independently resolve matters within delegated authority and identify issues requiring leadership attention or escalation.

  • Serve as a primary liaison with university leadership offices and represent the Dean's Office with internal and external constituencies as appropriate.

  • Coordinate major Dean's Office activities, including leadership and community meetings, the College Advisory Board, recurring institutional processes, and strategic initiatives and special projects, including project planning, implementation, and follow-through.

Campus Operations & Administrative Services (25%)

  • Coordinate campus operational needs, including facilities, space allocation, building use, contracts and agreements, parking, and other administrative infrastructure in partnership with appropriate university offices.

  • Serve as a primary campus liaison with centrally provided administrative and operational services, ensuring Manchester needs are understood and unresolved issues are appropriately escalated.

  • Support emergency preparedness, business continuity, major campus events, and other institution-wide operational requirements.

  • Maintain critical operational documentation and institutional knowledge to support continuity during staffing and organizational transitions.

  • Identify opportunities to improve administrative processes, clarify responsibilities, and increase operational efficiency.

Administrative Team Leadership (20%) 

  • Lead and supervise the Dean's Office administrative support structure, including hiring, onboarding, training, development, performance management, and work allocation.

  • Establish priorities and coordinate administrative resources across Dean's Office, academic, and campus needs.

  • Develop cross-training and continuity strategies to maintain essential services and reduce single points of failure.

  • Promote consistent, responsive, and effective administrative practices across supported areas, identifying and implementing best practices where appropriate.

Academic & Personnel Administration (15%)

  • Coordinate administrative support for Department Chairs, Program Coordinators, faculty, and academic operations.

  • Oversee recurring faculty administrative processes, including appointments, workload, supplemental compensation, faculty development funding, evaluations and reviews, searches, and related documentation.

  • Serve as a primary Manchester administrative liaison with Human Resources and coordinate position requests, searches, onboarding, organizational records, and other personnel processes.

  • Maintain accurate and confidential personnel and workforce information to support planning and decision-making.

  • Support academic and campus leadership in identifying and addressing administrative risks affecting staffing, course delivery, and program continuity.

Financial, Compliance & Operational Planning (15%)

  • Manage the Dean's Office operating budget and support annual budget planning, expenditure monitoring, reconciliation, purchasing, and financial reporting.

  • Coordinate contracts, invoices, purchasing-card administration, and other financial processes in partnership with central university offices.

  • Identify operational, financial, personnel, facilities, and compliance risks and coordinate appropriate resolution or escalation.

  • Maintain reliable operational and financial information to support resource allocation and campus decision-making.

  • Lead or support continuous improvement initiatives and the implementation of new institutional policies, systems, and administrative requirements.

Requirements

Minimum Acceptable Education & Experience:

  • Bachelor's degree and minimum seven years of experience required

    • Progressively responsible administrative or operational experience in a complex organization, with demonstrated experience in supervision, executive-level support, project management, and cross-functional coordination. Higher education experience is preferred.

Knowledge, Skills & Abilities:

  • Strong leadership, supervisory, organizational, and project-management skills.

  • Demonstrated ability to exercise sound independent judgment and manage complex and competing priorities.

  • Excellent written, verbal, and interpersonal communication skills.

  • Ability to develop effective relationships across organizational boundaries and with diverse internal and external constituencies.

  • Demonstrated discretion in handling sensitive and confidential information.

  • Strong analytical and problem-solving skills with a commitment to continuous improvement and effective service.

  • Strong technology skills and ability to learn and effectively use university administrative systems.

  • Knowledge of higher education administration, including familiarity with academic structures, faculty processes, policies, and administrative operations.

Compensation Pay Range:

$57,590.00 - $102,850.00
