Summary:
In this role, you will partner with the Manager, Administrative Services (Assistant to the Spend Management President) to lead and develop a high-performing team of Administrative Professionals. You will serve as both a people leader and strategic business partner, developing innovative, customer-focused, and cost-effective solutions that support the evolving needs of the business.
You will play a key role in shaping the future of Administrative Services within Spend Management by driving employee engagement, operational excellence, talent development, administrative effectiveness, and continuous improvement. You will motivate and inspire the administrative team to deliver exceptional service while modeling Vizient's values and a commitment to excellence.
Responsibilities:
People Leadership & Talent Development
- Lead, coach, mentor, and develop a team of Administrative Professionals through regular coaching, performance management, development planning, and career conversations.
- Recruit, interview, hire, onboard, and retain high-performing Administrative Professionals.
- Foster a collaborative, inclusive, and high-performing team culture focused on accountability, engagement, continuous learning, and service excellence.
- Support succession planning and professional development initiatives that strengthen Administrative Services capabilities.
Business Partnership & Administrative Strategy
- Partner with business leaders and Administrative Services leadership to understand evolving organizational priorities and anticipate future administrative support needs.
- Coordinate administrative resource planning, workload balancing, staffing recommendations, and executive alignment to support changing business requirements.
- Serve as a trusted advisor to leaders regarding administrative support strategy, organizational changes, and complex staffing needs.
- Lead efforts to improve the Administrative Services customer experience through leader feedback, service alignment, and continuous improvement initiatives.
Operational Excellence
- Develop scalable administrative solutions that improve service delivery while supporting business priorities.
- Identify opportunities to streamline workflows, standardize processes, and improve operational efficiency.
- Analyze data, trends, and feedback to identify opportunities for improvement and recommend solutions.
- Develop and implement best practices, tools, templates, and operating standards that improve consistency across the Administrative Services organization.
- Proactively identify cost-saving opportunities while maintaining exceptional service levels.
Technology & Innovation
- Champion adoption of AI-enabled administrative practices, automation, and emerging technologies that improve productivity and administrative effectiveness.
- Identify opportunities to leverage technology to simplify processes and improve administrative experience for leaders and Administrative Professionals.
- Coach Administrative Professionals on integrating technology into daily workflows while maintaining quality, professionalism, and confidentiality.
Organizational Effectiveness & Employee Engagement
- Lead employee engagement, communication, and recognition initiatives that strengthen Administrative Services culture and team effectiveness.
- Partner with Administrative Services leadership on enterprise initiatives related to role evolution, onboarding strategy, organizational effectiveness, and professional development.
- Lead Administrative Services through organizational changes by effectively communicating, supporting leaders and employees, and ensuring continuity of service.
- Develop and maintain communication strategies that keep Administrative Professionals informed, engaged, and aligned with organizational priorities.
Qualifications:
- Relevant degree preferred.
- Five or more years of experience supporting senior executives or leading administrative operations required.
- Three or more years of experience in a managerial position.
- Experience and confidence working closely with senior level leadership to ensure support levels are being met for them and their teams.
- Strong level of confidence in your role, the administrative model, and your decision making.
- Experience leading people, coaching teams, and managing organizational change preferred.
- Demonstrated ability to inspire, motivate, and develop high-performing Administrative Professionals.
- Strong business acumen with the ability to anticipate organizational needs and develop strategic solutions.
- Experience leading process improvement, operational excellence, or organizational initiatives.
- Experience implementing or supporting technology adoption, automation, or AI-enabled productivity tools preferred.
- Strong project management, organizational, and analytical skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to balance multiple priorities while maintaining a high level of quality and customer service.
- Proficiency with Microsoft 365, Teams, and other business productivity tools.
- Ability to maintain confidentiality at all times.
- Willingness to travel.
The ideal candidate will join us in a hybrid workplace model (3 days in office) at our office located in Irving, TX.

Estimated Hiring Range:
At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $77,400.00 to $135,400.00.
This position is also incentive eligible.
