SUMMARY:

The Events and Communications Associate Director create and executes programming and communications strategy and content for the Center for Global Engagement and the Carole Weinstein International Center, working closely with the dean of global education and other faculty and staff members who engage globally on behalf of UR. This position is responsible for integrating international content across events and programs at the University-wide level through close collaboration with students, faculty, staff, special committees and outreach to the greater Richmond community. The position is also responsible for consistent creation, implementation and execution of content as defined by the office and strategic plan as well as manages/designs/writes/edits campus-wide and external communications to students, alumni, faculty, staff, parents and international partners. The expanded range of global engagement for the UR campus is due to increased event programming sponsored by this position, for what is now a global and campus-wide International Education Week, events for international students, and other key events in the University calendar.

JOB DUTIES/RESPONSIBILITIES: 

Event Strategy, Creation and Management

  • Conceptualize, develop and manage a broad range of events and programs varying in size and audience for Global Engagement and the International Center to engage with the campus and greater Richmond Community through collaborative, sustained, and educationally significant responses to international community-identified priorities.

  • Act as primary liaison with the Office of the President and Office of the Provost for international events and programming.

  • Define and coordinate logistics including: internal and external contract negotiations; production and audio/visual elements; budgets; communication plans; pre and post event analysis; and vendor management.

  • Serve as staffing and on-site event manager and provide on the spot problem solving as issues arise along with one or more staff colleagues.

  • Consult with University faculty and other stakeholders to develop and coordinate exhibitions for the International Center Galleries.

  • Coordinate and manage all events and programming for International Education Week and other high-impact conferences/workshops sponsored by CGE meeting regularly and supervising the work of Global Guides, Global Education Fellow, and other colleagues and collaborators.

  • Serve as events and programs consultant for internal and external partner constituents with programming in the Center.

  • Ensure office and university branding are incorporated into events materials.

  • Capture and/or arrange for vendors for photography and video at high profile events for marketing, communications, and archival purposes; edit and publish as necessary.

Communications Strategy, Creation and Management

  • Develop and implement a comprehensive multi-media communication plan that articulates the goals and vision of the office as called for in the strategic plan. Create, write and edit office publications and special projects utilizing electronic channels as appropriate, including quarterly reports and updates for the Provost, President, and Board of Trustees as well as a comprehensive, visually-compelling annual report.

  • Conceptualize, design, and distribute numerous event and program promotional materials (digital and print) including but not limited to invitations, flyers, digital graphics, social media posts, written announcements, newsletters, digital flyers, and more.·

  • Conceptualize and maintain a dynamic office website and social media presence with interactive media; interview, hire, and manage student Global Guides in the execution of communications strategy.

  • Independently research departmental communications needs and opportunities, and initiate proposals and recommendations for appropriate communications projects and programs.

  • Serve as key resource for office and Center technology questions.

  • Develop and articulate office brand and ensure that office message is consistent; design office-branded templates for use by office colleagues.

  • Act as department liaison with University Communications and Telecomm and Multimedia Services by serving as the point of contact and participating in university-wide Communications Committee meetings.

  • Conceptualize and design digital signage for LCD screens in the office, Center and various campus locations.

  • Act as producer of the annual Global Engagement Award videos; coordinate shoot, conduct video interviews, conceptualize story with videographer.

Project Management/Integration

  • Serve as lead project manager on behalf of the office for events/programs and Web and print projects by identifying, coordinating and leading the execution of all necessary roles and tasks to accomplish the project.

Miscellaneous

  • Hire, supervise, train, and evaluate performance for Ev/Comm staff and vendors, including student assistants.

  • Supervise the work of the Global Education Fellow on the International Student Newsletter and international student support programming.

  • Participate in concept development and communications with the study abroad staff and international student & scholar staff.

Working Conditions & Physical Effort

  • No or very limited exposure to physical risk

  • Work is normally performed in a typical interior/office work environment

  • Some weekend or evening work may be required

  • Some international travel may be required

Qualifications:

  • Strong interpersonal and communication (written and verbal) skills, and the ability to work effectively with a wide range of constituencies in a diverse community

  • Strong organizational skills, ability to prioritize tasks and to manage projects that require high levels of coordination and attention to detail

  • Ability to create, compose and edit high quality written materials

  • Strong skills in web-based design and content and social media tools, including analytical tools

  • Technical competence in Microsoft Outlook tools, and design software such as Canva

Education & experience:  

  • Four-year college degree

  • 4-5 years combined experience with events and marketing communications required

  • Master’s degree preferred

  • International and higher education experience preferred, including proficiency in a second language and/or deep knowledge of a world region

Work Schedule:

  • Full-time; exempt position

  • Monday-Friday 8:30AM-5:00PM, however, some weekend work may be required

  • International travel may also be required

Pay Structure:

Grade 7 ($58,011.00 to $76,877.00 annually)
