Description of Work

The position is under the control of the Program Coordinator II responsible for Administrative Operations. This position provides a variety of administrative support services for the West Bureau – OSH Compliance Asheville Field Office. Duties include greeting in a professional manner members of the public, drafting and typing documents, filing, process referrals and complaints, setup new inspection files, prepare documents for USPS and Certified Mail, maintain and process surplus requests, and prepare files for collections.

This position provides administrative support to the Occupational Safety and Health (OSH) field office by coordinating office operations, managing inspection case files, maintaining confidential records, supporting compliance staff, and ensuring the accurate processing of inspection documentation into state and federal database systems. The position serves as a key administrative resource for Safety and Health Supervisors and Compliance Safety and Health Officers (CSHOs) and is responsible for maintaining the integrity, accuracy, and confidentiality of inspection records throughout the enforcement process.

Responsibilities include:

  • Assisting with the daily operation of the field office.
  • Performing copying, scanning, faxing, shredding, filing, and other general office duties.
  • Providing backup administrative support to other OSH field offices as needed.
  • Assisting supervisors and staff with administrative projects and office support activities.

Knowledge, Skills, and Abilities / Management Preferences

The successful candidate should possess:

  • Considerable knowledge of office administration principles, practices, and procedures.
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent attention to detail and a high degree of accuracy when processing confidential information and legal documents.
  • Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and Adobe Acrobat.
  • Ability to learn and effectively utilize OSHA Express, OSHA Information System (OIS), OnBase, PSIM, and other agency software systems.
  • Ability to maintain confidential information and exercise sound judgment.
  • Strong written and verbal communication skills.
  • Excellent customer service and interpersonal skills with the ability to establish effective working relationships with staff, supervisors, and external stakeholders.
  • Ability to work independently as well as collaboratively in a team environment.
  • Ability to prioritize assignments in a fast-paced office while maintaining accuracy and professionalism.
  • Prior experience with the North Carolina Department of Labor (NCDOL).
  • Notary or must be able to obtain notary certification w/in 90 days.
  • Must live w/in 50 miles of the Asheville office.

Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
