Manager, Sales Administration – Sales Events
Position Summary
The Manager, Sales Administration – Sales Events is a mobile, field-deployed contracting leader who serves as the on-site owner of contract production, document integrity, and regulatory compliance at MVW Road Shows, owner events, cruises, and other off-premise Sales events.
Distinct from a site-based Sales Administration Manager, this role operates away from the controlled Sales gallery environment — frequently in hotels, event venues, and on international waters — where standard system access, supervision, notary resources, and physical document controls may be limited or absent. The Manager is therefore accountable for carrying the compliance framework into the event: confirming that all required Legal and NOA approvals are in place before departure, verifying that only current approved document versions are used, safeguarding Personally Identifiable Information (PII) and payment card data in transit and on site, and producing accurate, fully executed contracts in real time under sales-floor pressure.
The role owns the Purchase Summary Worksheet (PSW) and the “calculator” used during the sales presentation – maintaining version control, running transaction information through the calculator to determine the applicable figures, validating pricing, finance terms, equity trade values, and incentive inputs, and training Sales on correct use so that what is presented to the guest matches what is contracted. Following each event, the incumbent returns to the assigned Sales gallery to complete all back-end work: contract conversion and batching, escrow and down payment handling, rescission and cancellation tracking, document remediation, and event reporting.
This position requires weekend travel most weekends and is expected to act as a visible compliance advocate and escalation point at the event — with the standing, confidence, and judgment to stop or modify a transaction that does not meet MVW, state, or federal requirements.
Specific Expected Contributions
Event Readiness & Pre-Approval
- Verifies that every document in the event packet is the latest approved version, including the Purchase Summary Worksheet, manual Contract for Purchase, state-specific addenda, payment and third-party payment authorizations, privacy notice, closing cost matrix, pre-confirmations, public offering statements/owner books, and brand-specific equivalents.
- Serves as the designated associate responsible for protecting PII at the event, establishing secure handling, storage, transport, and return-of-documents protocols before travel begins.
- Responsible for transporting or coordinating the shipment of required computer and contracting equipment to each sales events, confirms delivery before the event begins and ensure the equipment is properly secured and available for use on site.
On-Site Contract Production
- Produces, reviews, and executes ownership contracts live on site with accuracy and speed, matching tour flow and sales volume without compromising document quality.
- Reviews all contract documents before and again after execution to confirm correct representations, complete signatures, notarization where required, accurate pricing, finance terms and interest rates, inventory assignment, closing costs, and completion/closing dates.
- Executes manual and system-down contracting procedures when connectivity or system access is unavailable, including correct use of the Addendum to Contract for Purchase (system-down attachment).
- Partners with Global Technology (GT), as needed, to troubleshoot and resolve Wi-Fi, connectivity, or equipment issues that could affect on-site contract production; implements approved system-down procedures when issues cannot be resolved promptly.
- Manages DocuSign envelope sequencing and delivery for events approved for electronic production.
- Collects and safeguards down payments, credit card authorizations, and escrow funds in accordance with minimum escrow and depositing requirements, and reconciles all funds collected at event close.
- Maintains real-time control logs of documents issued, executed, voided, and returned; accounts for every document set before departing the venue.

Purchase Summary Worksheet & Calculator Ownership
- Owns the Purchase Summary Worksheet and the calculator used during the sales process, including version control, distribution, and confirmation that only approved current versions are in use at any event or gallery.
- Runs each applicable transaction through the approved calculator, enters and validates the required inputs, and reviews the resulting pricing, points, finance terms, down payment, incentives, trade equity, and preliminary equity trade values to ensure the figures presented to the guest reconcile exactly to the executed contract.
- Reconciles PSW-only events, confirming that term sheets/PSWs produced on site are followed by compliant back-end document production within required timeframes.

Compliance Leadership & Risk Escalation
- Acts as the visible compliance advocate at every event, setting the expectation with Sales leadership and Sales Executives that no contract is completed outside approved policy, template, or regulatory boundaries.
- Exercises independent authority to pause, correct, or decline a transaction that does not meet MVW policy or state and federal requirements, and escalates immediately to NOA and Legal leadership.
- Ensures adherence to requirements governing real estate and escrow law, truth-in-lending, rescission rights and disclosures, notary requirements, do-not-call and state registration/exemption rules, contract conversions, inventory matrix and reserved inventory, and extended closing dates.
- Safeguards PII and PCI data throughout the event lifecycle — collection, on-site storage, transport, and return to the contract office — and reports any suspected exposure immediately.
- Adheres to MVW's travel and business conduct expectations for Sales & Marketing travel opportunities, including itinerary compliance, professional conduct, dress standards, and alcohol-related expectations while representing MVW on the road.
- Documents compliance exceptions, near-misses, and lessons learned from each event, and recommends process, template, or training changes to prevent recurrence.

Post-Event Gallery Execution
- Completes all back-end sales administration work at the assigned Sales gallery following each event, including document assembly, remediation of missing or incorrect items, conversion, and batching with an emphasis on accuracy and efficiency.
- Tracks and communicates contract status, additional information required, and follow-up needs to Sales Executives and Sales leadership, minimizing rescissions, cancellations, and unclosed business.
- Produces post-event reporting on volume, contract count, closing efficiency, document exceptions, rescissions, defaults, and BNQs; presents results and root-cause analysis to Sales and NOA leadership.
- Works directly with the Audit department to resolve unclosed business and any exceptions required on event sales.
- Partners with Customer Advocacy to resolve escalated customer issues originating from event transactions.
