Description

The Cornell Cooperative Extension Orange County Park Facilities Coordinator, under the general supervision of the Association Park Facilities Manager, plays an integral part of the operation of the Education Center & 4-H Park. The Park Facilities Coordinator has the primary responsibility for cleaning, repairing, planning for, and maintaining the Park’s grounds, and physical facilities to ensure the functionality of the premises and the safety of staff, volunteers, participants, and the public. It is the role of the position to follow daily, weekly and monthly maintenance, monitoring, and repair schedules including, but not limited to, the office areas, bathrooms, storage areas, entrances, HVAC systems, fire alarms and suppression systems, pest management, high tunnel and greenhouse structures, parking lots, lawn and garden grounds. The Park Facilities Coordinator is also responsible for preparation of facilities for meetings, rentals, & events (including the county fair); mowing; snow removal; repairs; minor carpentry and construction projects; maintenance of equipment; storing rental vehicles; set up/breakdown; and coordinating facility needs with the Association Facilities Manager and/or designated staff and/or volunteers. Works with the Association Facilities Manager to ensure Association staff are trained in Emergency Management strategies by hosting fire drills and related trainings. Keep Facilities Manager up to date on building upkeep needs, order facilities supplies and equipment within approved budgets, maintain safety of walking trails by removing dangerous plants and limbs. Ensure building and grounds are presentable at all times.

This is a part time, 20 hours per week, benefits eligible position, primarily based at the Education Center & 4-H Park in Otisville, but presence at the main office in Middletown will be expected for meetings and other facilities responsibilities at times.

    

Required Qualifications:

  • Associate’s degree plus experience relevant to the role of the position. High School diploma/GED plus 1 year transferrable program/functional experience may substitute.
  • Ability to meet travel requirements associated with this position.
  • Ability to work flexible hours, which may include evenings and/or weekends, as appropriate.
  • Valid NYS Driver’s License.
  • Ability to operate a tractor and related equipment.
  • Knowledge of cleaning, maintenance, and repair methods, materials, and techniques applicable to public buildings.  Demonstrated ability to provide cleaning, maintenance, and repair work. 
  • Ability to identify and address safety concerns in the workplace.
  • Reliability and competence with building mechanicals and plumbing operations. 
  • Ability to work cooperatively with commercial maintenance and repair services on occasion. 
  • Physical ability to do heavy lifting, shovel snow, and carry supplies and equipment.
  • Ability to climb and perform work from a ladder. 
  • Basic computer skills.
  • Interest in taking pride in building and offices appearances and how the organization is reflected.
  • Ability and willingness to work with diverse audiences and maintain cultural sensitivity.
  • Ability to follow oral and written instructions and assume responsibility with general guidelines and direction.
  • Ability to plan and organize work responsibilities according to priorities developed with the immediate supervisor.
  • Ability to work effectively with the public and co-workers. 
  • Ability to communicate with supervisor and staff as pertains to the duties of the job. 
  • Ability to meet the physical demands of the position, including, but not limited to, bending, lifting, sitting, standing, stooping, stretching, walking, and digging
  • Lifting of 50 or more pounds, frequently.
  • Hand-eye coordination, manual dexterity, and a normal range of eyesight and hearing required to communicate with staff and manipulate equipment.
  • Ability and willingness to work outdoors in varying weather conditions during duration of employment.
  • Function as a team member working with volunteers and staff.

Preferred Qualifications:

  • Perform minor mechanical and maintenance repairs.
  • Knowledge of operating Park maintenance equipment.
  • Ability to relate to various audiences.
  • Ability to communicate effectively through oral, written, and visual means.
  • Knowledge of light plumbing and electrical skills.

Responsibilities/Essential Functions: 

Administrative Responsibilities:
Direction - 5%

  • Assist with planning for effective facilities operations of assigned job responsibilities; includes development of written plans, schedules and record keeping for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher and heating system annual maintenance, winterization of buildings and equipment, and emergency plans.

Management - 15%

  • Assist with monitoring and maintaining written plans and records for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher and heating system annual maintenance, winterization of buildings and equipment.
  • Assist with managing building and equipment maintenance schedules.
  • Assist with monitoring and maintenance of emergency preparedness plans.
  • Assist with assigning facilities related tasks and duties to temporary summer youth employees and provide supervision while performing such tasks.

Coordination/Operation - 75%

General

  • Facilitate routine ordering of cleaning supplies, building materials, maintenance items, etc. to ensure adequate supplies and materials are available to conduct grounds keeping and custodial tasks.
  • Collaborate with the Executive Director to keep an inventory of all supplies and equipment.
  • Comply with established health and safety regulations and guidelines including OSHA/PESH regulations.
  • Safely operate all vehicles and other job-related equipment.
  • Follow instructions regarding the use of chemicals and supplies.
  • Record use and storage of all chemicals and cleaners utilized in Material Safety Data Sheets record book as required.
  • In collaboration with supervisor, maintain all equipment operating manuals and maintenance records.
  • Interact with clientele, staff, volunteers, and the public in a courteous and respectful manner at all times.
  • Collaborate with supervisor to schedule contractors, volunteers, or other resources to address facility, maintenance, and storage needs.

Grounds and Building Maintenance:

  • Clean and maintain all public areas, restrooms, meeting rooms, and offices; removing all garbage, trash, and recyclables; cleaning and maintaining appliances and equipment such as refrigerators, stoves, hot water heaters, furnaces, lawn mowers, tractors, floor scrubbers, etc.  
  • Set up and tear down meeting facilities.
  • Assist with arranging for / performing deliveries and errands.
  • Provide general maintenance and repairs, such as minor plumbing, electrical, carpentry, roofing, flooring, and painting as required.  Alert Facilities Manager of any major problems or repairs needed.
  • Remove snow and ice from walks, roofs, driveways, and parking lot as needed. 
  • Maintaining lawn and landscaping as needed.
  • Maintain monthly logs for water system regulatory testing, inspections, and system maintenance.
  • Work in compliance with all Department of Health (DOH) regulations, permits, and requirements applicable to Clover Cafe and Shake Shack.
  • Collaborate with Supervisor and staff to ensure the buildings and grounds are prepared for educational programming, including large events such as the annual 4-H Fair and Association Annual Meeting.

Rentals & Storage:

  • Consult Rental/Sign-out Calendar daily for information regarding buildings and grounds use.
  • Make arrangements for buildings to be opened and closed as per rental/storage needs and schedule, which will include nights and weekends.
  • Serve as the contact for staff for buildings and grounds issues and emergencies outside typical office hours.
  • Check facilities after use by renters and report damage to Executive Director.
  • Set up chairs, tables, or any other equipment as specified.
  • Assist with storage and removal of office equipment, furniture, machines, and tools.

Professional Improvement and Other Duties as Assigned - 5%

  • In cooperation with the Supervisor, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes in programming and association priorities.
  • Participate in all required orientation, training, and/or in-service meetings and trainings as scheduled/required. 
  • Pursue personal growth through expanding personal knowledge of the total organization and through updating techniques and technical skills relating to the position.
  • Carry out assignments and other duties as assigned by supervisor, including but not limited to local health fairs, community activities, etc. Collaborate in activities that are in general support of Cornell Cooperative Extension including but not limited to attendance at staff meetings, timely reporting of expenses, working with other staff, general marketing of Cooperative Extension programs and other duties as assigned.
