Texas A&M's Chemistry Department is looking for an Administrative Coordinator I to provide comprehensive administrative, secretarial, and program support services through the Department's Center for Administrative Support. Under general supervision, this position supports faculty by coordinating a wide range of administrative functions, managing communications and documentation, maintaining records and databases, organizing meetings and events, assisting with financial and travel processes, and supporting academic and research-related activities. The Administrative Coordinator I serves as a key resource for faculty, staff, students, and external partners, helping to ensure the efficient operation of departmental programs and initiatives.

Opportunities to Contribute

  • Manages office operations for dynamic research groups by overseeing administrative functions, developing and implementing office procedures, ensuring compliance with policies, and continuously improving processes and services.

  • Provides high-level administrative and executive support through calendar management, meeting coordination, appointment scheduling, visitor reception, telephone communications, and resolution of administrative inquiries.

  • Serves as the primary liaison among faculty, staff, students, research personnel, external organizations, funding agencies, and the public, facilitating effective communication and collaboration.

  • Maintains and manages departmental records, files, databases, and tracking systems, ensuring accurate documentation, data integrity, and efficient recordkeeping.

  • Coordinates financial and business operations, including budgeting, procurement, invoice processing, account reconciliation, financial reporting, and compliance with internal and external funding requirements.

  • Supports research and academic administration through preparation of annual reports, equipment inventories, grant proposals, funding submissions, post-award activities, budget management, and required agency reporting.

  • Prepares, edits, reviews, and manages correspondence, reports, publications, presentations, and other administrative documentation while providing advanced word-processing, desktop publishing, and data management support.

  • Coordinates domestic and international travel arrangements, processes travel and leave requests, manages reimbursements, and maintains associated expense documentation for faculty, researchers, staff, and distinguished visitors.

  • Plans and coordinates seminars, symposia, conferences, workshops, departmental programs, and other events by providing logistical, operational, and administrative support to participants and stakeholders.

  • Coordinates all non-scientific aspects of research group publishing activities, including preparation, proofreading, submission, and tracking of reports, journal articles, and other publications.

  • Manages office resources by maintaining supplies, equipment, inventories, and operational readiness to support efficient departmental and laboratory activities.

  • Coordinates with information technology personnel to maintain, update, and enhance departmental and research group websites.

  • Participates in professional development activities and administrative briefings to implement best practices, improve efficiency, and support organizational objectives.

  • Supports academic operations by interacting with undergraduate and graduate students, scheduling appointments, maintaining records, assisting with course materials, and coordinating exam preparation and distribution.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.

  • Two years of experience in office administration.

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Planning and organization skills.

Salary: Compensation will be commensurate based on the selected candidate's education and experience.

Special Note: Due to this position’s salary having all or a portion of it being funded by grants or contracts, the continuing salary and overall employment is contingent upon availability of these funds in the future.

Schedule: May require working during the night and on weekends.
