Salary: $1,800 – $2,200 USD/month (depending on experience) + yearly performance-based increases.

Committed to absolute financial compliance, operational excellence, and strict trust-accounting standards (including Florida IOTA guidelines), our client operates with high internal controls and meticulous client ledger tracking. To support long-term financial health and operational clarity, our client is expanding its finance team to restructure, audit, and maintain its complete accounting infrastructure.
Job Overview
Our Client is seeking an analytical, highly detail-oriented Senior Bookkeeper & Financial Reconstruction Specialist to audit existing financial records, correct historical bookkeeping anomalies, and establish a clean, reliable accounting framework moving forward. Working closely with executive management, practice management platforms (Clio Manage, LawPay), and external CPA tax teams, this professional will evaluate and restructure the Chart of Accounts, conduct three-way trust reconciliations, and ensure ongoing compliance with US GAAP.
Key Responsibilities
Chart of Accounts Restructuring & US GAAP Compliance

Conducts comprehensive audits of the firm's existing Chart of Accounts (COA) to identify duplicate, misclassified, or improperly structured accounts.

Reorganizes, simplifies, and maintains a clean COA tailored specifically for a US law firm in full accordance with US GAAP.

Corrects historical categorization errors, posts appropriate adjusting journal entries, and maintains audit-ready documentation for all accounting adjustments.

Establishes standardized, repeatable bookkeeping SOPs to ensure long-term transaction consistency and financial accuracy.
Core Bookkeeping, Account Reconciliation & Forensic Investigation

Maintains complete and accurate financial records in QuickBooks Online (QBO), properly categorizing income, expenses, transfers, deposits, and refunds.

Conducts monthly bank, credit card, and payment processor reconciliations (e.g., LawPay).

Investigates financial discrepancies at the root-cause level, avoiding superficial forced adjustments to ensure true account balancing.

Assists with month-end and year-end closing procedures, maintaining complete digital audit trails and supporting schedules.
Law Firm Trust (IOTA) Accounting & Billing Integration

Oversees operating and client trust/IOTA accounting workflows, maintaining individual client and matter sub-ledgers.

Executes monthly trust account management and strict three-way reconciliations in alignment with applicable Florida trust-accounting regulations.

Reconciles payment transactions across LawPay, Clio Manage, QuickBooks Online, and bank records, ensuring processing fees, deposits, and refunds match client files.
Financial Controls, Reporting & CPA Coordination

Prepares and reviews monthly Profit & Loss Statements and Balance Sheets, actively flagging unusual balances or operational risks to management.

Assists executive leadership with cash-flow analysis, forecasting, and internal financial controls.

Coordinates directly with external CPAs, tax professionals, and payroll providers to deliver clean, audit-ready books for annual tax preparation.
Qualifications, Skills, and Key Competencies
Required Qualifications

US Accounting & GAAP Mastery: Proven professional accounting/bookkeeping experience supporting US-based entities, featuring strong command of US GAAP principles.

COA Restructuring & Audit Capability: Demonstrated experience inheriting, auditing, restructuring, and cleaning up historical Chart of Accounts and messy financial records.

QuickBooks Online & Reconciliation Expertise: Advanced proficiency in QuickBooks Online, including bank/credit card reconciliations and financial statement analysis (P&L and Balance Sheet auditing).

Forensic Mindset & Root-Cause Investigation: Proactive, analytical approach capable of investigating ledger discrepancies independently rather than forcing balance entries.

Exceptional English Proficiency: Advanced written and verbal English communication skills to explain complex accounting adjustments clearly to executive management.

Schedule Alignment: Full availability to work standard US Eastern business hours (Monday – Friday, 8:30 AM – 5:30 PM ET).

Direct prior bookkeeping experience within a US law firm practice.

Hands-on experience with law firm trust/IOTA accounting and mandatory three-way reconciliations (specifically adhering to Florida legal trust regulations).

Technical fluency with legal tech stack tools: Clio Manage, Lawmatics, and LawPay integrations with QuickBooks Online.
