What you’ll contribute to
An exciting opportunity has become available for an Assistant to the General Manager to join our Aftersales Division in a permanent full-time role.
The Aftersales Division leads the planning, coordination, and delivery of all national parts and accessories activities. This includes sales, business development, procurement, supplier management, dealer support, and warehouse operations. The division plays a critical role in achieving sales growth, market share and profitability targets, while ensuring warehouse operations are optimised and aligned with global best-practice standards.
The Assistant to the General Manager provides high-level administrative and operational support to the General Manager and Senior Leadership team. This role is responsible for coordinating divisional activities, managing key business processes, and ensuring leaders are effectively supported to deliver strategic initiatives and achieve divisional objectives.
This role is based in Altona North and is primarily office-based. Occasional attendance at our Port Melbourne office will also be required to provide support when the General Manager is working from that location.
How you’ll make an impact
Manage the General Manager’s diary, correspondence, and travel arrangements, ensuring competing priorities are effectively managed and critical business matters are addressed in a timely manner.
Act as a key liaison for the division, coordinating day-to-day business activities with internal and external stakeholders, resolving issues, and escalating risks where appropriate.
Coordinate divisional meetings, events, and visitor activities, providing administrative and operational support to the General Manager and Senior Leadership team.
Prepare reports, presentations, and business documentation, gathering, analysing, and summarising information to support informed decision-making and ensure timely delivery of key initiatives.
Drive process improvement and project coordination, supporting Kaizen initiatives, implementing divisional procedures, tracking milestones, and ensuring changes are accurately documented and communicated.
Monitor divisional budgets and expenses, identifying opportunities to improve cost efficiency while supporting leadership with financial oversight and reporting.

Proven experience in a Personal Assistant or a similar role, supporting senior leaders in a fast-paced environment.
Exceptional organisational, planning, and time management skills, with the ability to manage competing priorities, complex schedules, and travel arrangements.
Strong stakeholder management and communication skills, with the confidence to build effective relationships and liaise professionally with internal and external stakeholders at all levels.
Demonstrated ability to prepare high-quality reports, presentations, and business documentation, with strong attention to detail and a focus on accuracy and confidentiality.
Experience coordinating projects, process improvements, or business initiatives, with exposure to project planning, milestone tracking, and reporting highly desirable.
Financial acumen with experience monitoring budgets, expenses, and business performance, coupled with the ability to identify opportunities to improve efficiency and support operational objectives.
