House Manager & Family Assistant with Meal Prep

Location: Santa Monica, CA 90402

Employment Type: Part-Time | 25–30 hours per week | 25 hours guaranteed weekly

Schedule: Schedule: Monday, Wednesday, and Friday, approximately 12:00–6:00 p.m.; Tuesday and Thursday, approximately 2:00–8:00 p.m., with Thursdays occasionally extending to 8:30 p.m.

Compensation: $35–$40 per hour based on experience

Start Date: ASAP

Requirements:

  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • Own reliable transportation; mileage reimbursed for errands
  • Comfortable around water and pools; able to confidently supervise children near a pool
  • Must be up to date on AAP- and CDC-recommended vaccinations, including current COVID-19 and seasonal flu vaccines. Proof required; legal accommodations apply.
  • CPR and First Aid certification preferred; family will cover cost of certification if not yet obtained

About Our Family

We are a warm, engaged family living just steps from the beach in Santa Monica. Both parents are professionals who work from home full-time, so our days are active, connected, and always moving. We have two school-age children who are curious, energetic, and involved in a wide range of activities, including sports, music, and academic enrichment. Our weeks are full and varied, and we are looking for someone who enjoys supporting a dynamic household and can confidently help keep the many moving pieces organized.

Communication, consistency, and follow-through are very important to us. We value a home environment that feels warm, calm, and well cared for, even on busy days. We enjoy sharing meals together when schedules allow, and we appreciate someone who communicates openly, notices what needs attention, and takes pride in creating greater ease for the family.

Our children have benefited from the support of trusted caregivers and household professionals over the years. We are now looking for someone who can become another steady, encouraging presence in their lives—someone who can reinforce routines, help them stay organized, motivate them with warmth and confidence, and support them as they grow in independence.

We also have a wonderful, long-tenured housekeeper who is a trusted part of our household. This role is designed to complement her work by providing additional support during the afternoon hours, helping with family logistics, household resets, organization, and the day-to-day details that keep everything running smoothly.

Our home is newer and includes several household systems, appliances, and organizational tools that are not yet being used to their full potential. We would love to find someone who enjoys learning how a home functions, identifying areas that need improvement, and taking ownership of creating practical systems that make daily life more efficient. This may include organizing existing processes, troubleshooting minor issues, coordinating with vendors when needed, and helping the family get the most out of the home’s features.

More than anything, we are looking for someone who will show up consistently, communicate thoughtfully, and genuinely become part of the rhythm of our family. The right person will be proactive, dependable, warm, and comfortable balancing structure with flexibility as the needs of the household evolve.

The ideal person for this role is warm, driven, communicative, and genuinely invested in doing excellent work. Warmth and communication are two of the qualities we value most in our home. We are looking for someone who takes pride in their work, brings care and intention to every responsibility, and approaches the role with a strong sense of personal ambition. Someone who continually looks for ways to grow, improve, and do things well will naturally bring that same motivation, reliability, and positive attitude into our household.

Strong executive-functioning skills are essential, particularly when supporting children who are still developing those habits. We are looking for a steady, non-parental motivating presence who can guide our children through homework, instrument practice, activity preparation, and everyday responsibilities. That support should be delivered with warmth, confidence, consistency, and clear structure so the children feel encouraged and accountable without the approach becoming overly rigid. A firm but caring style is important when redirection is needed, always in a way that respects our role as parents and the expectations we have established.

The daily schedule is intentionally divided between household support and child-focused responsibilities. The first part of the day will generally include household tasks, errands, vendor coordination, organization projects, meal preparation, and managing the practical details that keep the home running smoothly. Later in the day, the focus will shift to school pickups, transportation to activities, homework and instrument-practice support, snacks or dinner preparation, and organizing school-related items for the following morning. Confidence, independence, good judgment, and proactive communication are key, as we value someone who can anticipate needs, flag concerns early, and move priorities forward without constant direction.

Our home is a newer build with several integrated systems, appliances, and technology features. Some may need to be refined, adjusted, or repaired before they can be used to their full potential. We would appreciate someone who can identify what needs attention, arrange and oversee service appointments, and help us make the most of the systems already in place. Because our household is dynamic and schedules can shift from week to week, flexibility and calm are essential. We hope to find someone who can manage multiple priorities, blend naturally into our family, become a trusted partner, and create greater ease and consistency throughout the home.

Key Responsibilities

Family Support

  • Afternoon school pickups and activity drop-offs
  • Light supervision and backup childcare, including playdate oversight including the ability to confidently monitor children around the pool
  • Support children with homework, instrument practice, and daily routines
  • Prep backpacks, clothing, lunches or snacks for school
  • Kid-related errands
  • Date night childcare coverage, built into Thursday evening schedule

Meal Support

  • Dinner prep and cooking as needed; batch cooking also welcome
  • Accommodate one vegetarian household member; a preference for poultry and fish
  • Physical grocery shopping for gaps and urgent items; grocery ordering to be managed independently once established
  • Kitchen cleanup and maintenance after meal prep

Household Organization & Maintenance

  • Daily resets throughout the home; prep spaces before housekeeper visits
  • Light tidying including dishes, load/unload dishwasher, wipe surfaces and vacuuming high-traffic as needed (e.g., sand at entry from beach proximity)
  • Perform routine checks and minor upkeep throughout the home, including air filters, smoke detectors, light bulbs etc
  • Seasonal outdoor preparation including covering exterior items ahead of rain, and managing wind and leaf cleanup
  • Holiday and seasonal decor swaps; event and guest prep

Laundry & Linens

  • Laundry support in collaboration with housekeeper (processing loads on non-housekeeper days)
  • Specific focus on managing sports uniforms through the wash and ensuring they are washed and put away in time for the next sporting event
  • Maintain a tidy and well-stocked laundry area

Inventory & Errands

  • Restock pantry, fridge, and general household supplies; manage running supply lists
  • Manage household subscriptions (Amazon, Costco, Target)Run errands, including grocery shopping, returns, and other household needs
  • Mail and package handling and sorting
  • Breaking down of boxes

Deep Cleaning & Special Projects

  • Periodic deep cleans of fridge, oven, and appliances
  • Refresh of high-traffic areas including mudroom, garage, and entryway
  • Organizational overhauls for toys, sports gear, and storage areas as needed
  • Cleaning of humidifiers and air purifiers

Vehicle Upkeep

  • Fueling, cleaning, and organizing the family vehicle

Vendor & Property Oversight

  • Oversee contractors and landscapers
  • Research/coordinate repairs and quotes
  • Seasonal property maintenance (prep for rain/wind)
  • Manage outdoor spaces

Administrative & Personal Assistant Support

  • Calendar management for household and family schedules
  • Receipt tracking for household or family purchases
  • Vendor research and coordination for repairs
  • Event and appointment research (birthday party planning, scheduling around school and holiday calendars)
  • Travel planning support as needed
