Job Title: Human Resources Coordinator
Department: Office of Human Resources
Reports to: Chief Human Resources Officer
FLSA Status: Exempt
Job Summary
The Human Resources Coordinator reports directly to the Chief Human Resources Officer and performs professional level HR coordination duties in support of HR operations, recruitment, onboarding, student employment, personnel action processing, HRIS data integrity, records management, employee service, training support, reporting and compliance tracking.
The HR Coordinator exercises discretion and independent judgment in resolving routine HR matters, identifying compliance concerns and escalating complex, sensitive, or high-risk issues to the CHRO.
Essential Duties and Responsibilities
- Serve as an operational HR contact for employees, applicants, students, supervisors, departments and external stakeholders.
- Provide professional-level operational and administrative support to the CHRO and Office of Human Resources.
- Coordinate assigned HR workflows, including recruitment, onboarding, student employment, personnel actions, HRIS updates, records management, training support, reporting and compliance tracking.
- Monitor HR email communications, e-forms, Dynamic Forms, Manager Self Service workflows and other HR process queues to ensure timely follow-up, routing and resolution.
- Assist with the coordination of recruitment and hiring workflow activities for staff, faculty, student employees, graduate assistants, temporary employees and other assigned employment categories.
- Post approved positions, monitor applicant status, track search committee documentation and advise departments on routine recruitment procedures, required documentation and hiring timelines.
- Assist with reviewing hiring, onboarding, HRIS and personnel action documentation for completeness, accuracy, consistency and compliance before routing or processing.
- Coordinate new hire communications, onboarding packets, I-9 documentation, background check tracking, transcripts, credentials and required employment forms.
- Support New Employee Orientation logistics, materials, attendance tracking, presenter communication and onboarding activities.
- Process routine Personnel Action Notices and HR transactions after required approvals are received.
- Assist with data entry and maintain employee information in HRIS and related HR
- Assist with HRIS data cleanup, corrections and data integrity
- Support student employment, work-study and graduate assistant processing, including onboarding, documentation, PANs, HRIS entry, tracking and communication with Work Study, Payroll, Academic Affairs, departments and supervisors.
- Assist with routine background check administration and follow-up for assigned employee groups; escalate criminal history, adverse results, discrepancies, or eligibility concerns to the CHRO.
- Maintain HR records, personnel files, recruitment files, onboarding records and confidential employment documentation in accordance with institutional and regulatory requirements.
- Support routine employment verification processing when assigned and ensure proper authorization is received before information is released.
- Assist with routine resignation processing, exit interview scheduling, separation documentation, clearance forms and offboarding support.
- Support the annual performance review process by coordinating timelines, communicating reminders, maintaining records, tracking completion and preparing completion reports.
- Assist with professional development, training support, employee wellness logistics, communications, materials, attendance tracking and recordkeeping as assigned.
- Assist with classification and compensation workflow coordination by routing documents, tracking requests, identifying incomplete submissions and maintaining records; final review and approval remain with the CHRO.
- Prepare and analyze HR reports, tracking logs and data summaries related to recruitment, onboarding, PANs, student employment, HRIS data integrity, orientation, training, performance review completion and assigned HR processes.
- Identify process gaps, recurring department errors, data integrity issues, compliance concerns and workflow delays; recommend corrective action or process improvements to the CHRO.
- Develop and maintain SOPs, checklists, templates, tracking tools and workflow guides for assigned HR processes.
- Determine when HR matters can be resolved through established procedures and when they require escalation due to risk, complexity, confidentiality, or institutional impact.
- Perform other duties as assigned by the CHRO that are consistent with the position's role, scope and institutional needs.
Minimum Qualifications
- Bachelor's degree in Human Resources, Business Administration, Public Administration, Management, or a related field.
- Three to five years of progressively responsible HR experience involving recruitment coordination, onboarding, HRIS, personnel action processing, records management, compliance tracking, reporting, or HR operations.
- Experience reviewing HR documents for accuracy, interpreting routine HR procedures, preparing reports, maintaining confidential records and coordinating HR workflows.
- Experience using Microsoft Office or similar productivity
- Equivalent combination of education, training and experience may be
Preferred Qualifications
- Five or more years of progressively responsible HR
- HR experience in higher education or a University System of Georgia
- Experience with OneUSG Connect, Equifax Compliance Center, ApplicantPro/iSolved, Accurate Background, Dynamic Forms, or similar HR systems.
Knowledge, Skills and Abilities
- Knowledge of HR procedures, records management, HR systems, recruitment, onboarding, personnel action processing, student employment, training coordination and confidentiality requirements.
- Skill in customer service, communication, organization, time management, reporting, data review and attention to detail.
- Ability to exercise discretion and independent judgment in coordinating HR processes, evaluating documentation, identifying compliance concerns and recommending appropriate action.
- Ability to analyze HR workflow data, identify trends or discrepancies and recommend process improvements.
- Ability to interpret and apply routine HR policies, procedures and compliance
- Ability to manage multiple priorities, meet deadlines and work effectively with employees, students, applicants, supervisors, departments, Payroll, Academic Affairs, vendors and HR team members.
- Ability to handle confidential information with professionalism and
- Ability to distinguish routine matters from complex, sensitive, or high-risk issues requiring CHRO review.
