This position serves as the dedicated executive assistant to the SVP, Financial Planning & Analysis, Duke Energy. This role provides high-level administrative, organizational, and strategic support that enhances the effectiveness of the executive and their leadership team. Responsibilities include proactive calendar and meeting management, executive communications, travel coordination, expense and invoice administration, and coordination and preparation of materials for senior leadership, SMC and Board-level meetings. The successful candidate exercises exceptional judgment, discretion, confidentiality, and professionalism while proactively anticipating needs and adapting to evolving priorities.
Advanced proficiency in Microsoft Office applications – including Outlook, Teams, SharePoint, Word, PowerPoint, and Excel are required.
Responsibilities
Actively manages the executive’s calendar, meeting schedule, travel, and internal/external commitments, proactively identifying and resolving conflicts, protecting time for key priorities, and ensuring the most effective use of the executive’s time.
Coordinates agendas, meeting materials, logistics and technology for executive, staff and All Hands meetings, ensuring meeting rooms, Teams links, presenters and supporting materials are prepared and functioning effectively. Interfaces with staff members or other resources to plan and coordinate events, as necessary.
Independently anticipates executive priorities and exercises sound judgment, discretion, and autonomy in managing competing demands, filtering, and prioritizing requests, resolving issues proactively, and coordinating support activities to ensure the executive operates effectively and efficiently.
Communicates professionally and confidentially with internal and external stakeholders, including senior leaders and their executive assistants.
Utilizes Microsoft Office applications at a high level of proficiency, including Outlook, Teams, Word, PowerPoint, and Excel.
Prepares and manages expense reports, processes invoices, and maintains oversight of the departmental administrative budget, including supplies, meals, and all other approved expenditures.
Maintains a consistently high level of responsiveness and availability to support the executive’s business needs and schedule.
Maintains a strong understanding of Duke Energy's organization, business operations, and the executive's work preferences and priorities.
Builds effective relationships and communicates professionally with employees and stakeholders at all levels, both inside and outside the organization.
Required Qualifications
Bachelor’s degree
6+ years of related work experience
In lieu of bachelor’s degree, a high school diploma/GED and 10 years of related experience
Desired Qualifications
10+ years of executive administrative support experience preferred
Experience supporting senior executives or corporate officers, including preparation of executive and Board-level materials, and managing highly confidential financial, personnel and strategic information, preferred.
Experience initiating independent judgement in managing daily schedules of executives
Ability to work effectively with executive leadership and other senior business leaders with professional maturity
Thorough knowledge of Duke Energy, as well as the company’s policies and procedures
Experience planning or organizing department events
Ability to function independently, but also work collaboratively
Exceptional organizational skills to prioritize work and complete assignments accurately, while under the pressure of competing deadlines and frequent interruptions
Self-motivated; takes initiative to maintain productivity with minimal oversight
Experience providing senior-level executive administrative support in a large company with proven aptitude to manage confidential issues on behalf of the executive
Working Conditions
Onsite Mobility Classification – Work will be performed at a company facility. Reliable, consistent transportation is required to ensure timely arrival at the applicable facility. Employees should live within a reasonable commute (not greater than 50 miles one way) to the designated Duke Energy facility.
