Position Details
Title: Assistant Manager - Facilities
Business Unit: Integrated Facilities Management (IFM)
Reporting To: Facilities Manager
Direct Reports: On-site Vendor Team
Location: Bangalore, KA (On-site)
Shifts : Rotational (24*5 Operations)
Scheduled Weekly Hours: 48 Hours
Role Overview
The Assistant Manager - Facilities will support the efficient management of day-to-day facility operations, ensuring seamless service delivery, operational excellence, compliance, and a superior workplace experience. The role requires close coordination with the Facilities Manager, vendors, and client stakeholders to maintain high service standards and operational efficiency.
Key Responsibilities
Facility Operations
- Manage and monitor housekeeping operations, pest control services, mailroom activities, stationery and office supplies management, and indoor plant maintenance to ensure a safe, clean, organized, and productive work environment.
- Oversee day-to-day facility administration and workplace operations, including maintenance of stock records, inventory management, preparation of operational reports, and coordination of essential support services.
- Ensure service providers meet agreed service levels, maintain adequate inventory of consumables, and proactively address operational requirements to support seamless day-to-day business operations.
- Conduct regular inspections, track service performance, and implement continuous improvement initiatives to enhance workplace experience and operational efficiency
- Support the Facilities Manager in managing facility services, administrative functions, and client requirements.
- Develop, implement, and continuously improve operational procedures and performance measures to enhance service efficiency and reliability.
- Ensure adequate availability of consumables, materials, and essential services to support uninterrupted facility operations.
- Monitor inventory levels and proactively escalate replenishment requirements to prevent stock shortages.
- Manage petty cash requirements in accordance with organizational guidelines and operational needs.
- Process vendor invoices in compliance with the client's finance procedures.
- Verify statutory and compliance requirements for all vendor invoices before submission.
- Conduct routine inspections of facility services to ensure adherence to agreed service levels and performance standards.
- Demonstrate ownership and accountability in driving operational excellence and achieving performance targets.
Reporting & Documentation
- Contribute to the preparation of Weekly Facilities Management trackers
- Assist in developing Monthly Management Reports and other client-specific reports.
- Maintain accurate operational records and ensure timely submission of reports.
Health, Safety & Compliance
- Participate actively in emergency preparedness, evacuation procedures, crisis management, and business continuity initiatives.
- Monitor Health, Safety, and Environmental (HSE) compliance across the facility.
- Support health and safety audits, inspections, and review processes to ensure a safe workplace environment.
- Ensure vendor compliance with statutory, contractual, and safety requirements.
Performance Objectives
Success in this role will be measured through:
- Compliance with the Service Level Agreement (SLA) established between JLL and client.
- Achievement of agreed customer satisfaction targets.
- Delivery of cost-saving initiatives and operational efficiencies aligned with client objectives.
- Successful implementation of JLL and client strategic initiatives and improvement programs.
- Consistent achievement of service delivery goals established by management.
- Effective management of vendors, resources, and facility operations while maintaining high service standards.
Key Skills & Competencies
- Proven experience in Facilities Management operations.
- Strong customer service orientation with the ability to build and maintain professional client relationships.
- Excellent interpersonal and stakeholder management skills.
- Sound knowledge of workplace health, safety, and statutory compliance requirements.
- Strong analytical, organizational, and problem-solving abilities.
- Proficiency in Microsoft Office applications and facility management systems.
- Experience in preparing management reports, operational dashboards, and service performance reviews.
- Demonstrated ability to drive continuous improvement initiatives and process efficiencies.
- Ability to work independently while effectively collaborating with cross-functional teams.
Qualifications & Experience
- Graduate degree in Hospitality management or any discipline.
- 5 to 6 years of relevant experience in Facilities Management or Workplace Services.
- Qualifications in Hotel Management, Building Management, Business Administration, or related disciplines will be an advantage.
- Proven track record of managing vendor operations and facility services.
- Demonstrated ability to initiate, implement, and sustain process improvement initiatives.
- Strong team collaboration and leadership capabilities.
