The Opportunity:
Our client is seeking an organized and customer focused Parts & Service Advisor to serve as a key point of contact for customers while helping coordinate the daily flow of the service department. With a primary emphasis on service advising, this role includes understanding customer concerns, preparing estimates, coordinating repair work, and maintaining clear communication from initial intake through completion. The position also supports parts operations by identifying and sourcing parts, assisting customers with purchases, and ensuring Technicians have the materials needed to complete work efficiently. Duties and Responsibilities:
- Serve as a primary point of contact for service customers, documenting concerns, gathering relevant equipment information, and establishing clear expectations for the repair process.
- Schedule service appointments and coordinate with Technicians and service leadership to align incoming work with shop capacity and parts availability.
- Create and maintain accurate repair orders, ensuring customer requests, diagnostic findings, approved work, and Technician notes are properly documented.
- Prepare and communicate service estimates, explain recommended repairs and maintenance, and obtain customer authorization before proceeding with additional work.
- Provide timely updates regarding repair progress, changes in scope or cost, parts delays, and anticipated completion dates.
- Recommend appropriate maintenance, repairs, parts, and accessories based on customer needs, equipment condition, and manufacturer guidance.
- Monitor open repair orders and follow up on outstanding approvals, parts orders, and other items that could delay completion.
- Review completed repair orders for accuracy, confirm labor and parts charges, explain the work performed, and coordinate payment and customer pickup.
- Assist with warranty documentation and processing, ensuring required information is complete and submitted according to established procedures.
- Identify and source parts using manufacturer catalogs, diagrams, and available systems, verifying compatibility with the equipment being serviced.
- Assist retail and internal customers with parts inquiries, pricing, availability, purchases, and special orders.
- Order and track parts, communicate delivery expectations, and coordinate distribution to Technicians and customers.
- Receive and verify incoming parts shipments, maintain accurate inventory records, and support organized storage, cycle counts, returns, and core handling as applicable.
- Use the dealership management system (DMS) consistently to maintain accurate customer records, repair orders, parts transactions, and inventory information.
- Address customer questions and concerns professionally, working with dealership leadership when needed to achieve timely resolution.
- Maintain an organized customer counter and work area while collaborating with the team to improve workflow, reduce delays, and deliver a consistent customer experience.
Qualifications:
- 2–3+ years of experience as a Service Advisor, Parts Advisor, or in a comparable customer facing dealership role, with a strong understanding of the service process.
- Marine dealership experience is strongly preferred; candidates with Automotive, Powersports, or RV experience will also be considered.
- Experience managing customer intake, repair orders, estimates, approvals, and communication throughout the service process.
- Working knowledge of parts identification, sourcing, ordering, and inventory procedures, with the ability to use parts catalogs and diagrams accurately.
- Sufficient technical understanding to communicate customer concerns to Technicians and explain repair recommendations to customers clearly.
- Proficiency with dealership management systems (DMS), including timely and accurate documentation of service activity and parts transactions.
- Strong organizational skills and attention to detail, with the ability to manage appointments, open repair orders, parts requests, and customer follow up in a busy environment.
- Ability to recommend appropriate repairs, maintenance, parts, and accessories while earning customer trust through accurate information and ethical sales practices.
- Familiarity with warranty documentation and claims processes is preferred.
- Strong communication and interpersonal skills, with a professional approach to resolving concerns and setting realistic expectations.
- Collaborative work style, dependable follow through, and a willingness to assist across service and parts as daily needs require.
