Are you the person who makes HR feel human? ICC-IMS is looking for a Senior Human Resources Coordinator who thrives on ownership — someone ready to run onboarding, benefits, payroll coordination, and office operations with confidence, and to grow their career along the way.
This isn't a seat where you're just processing paperwork. You'll partner directly with our Director of Human Resources, own recurring HR processes end-to-end, and be the friendly, reliable face employees turn to with everyday questions. WHAT YOU'LL DO
HR & Employee Experience
- Own the onboarding and offboarding experience — scheduling orientations, prepping documentation, and checking in with new hires so they feel set up for success.
- Keep employee records and our HRIS accurate, complete, and compliant with federal, state, and local requirements.
- Manage our HR and team SharePoint sites, keeping content current and easy to find.
- Be the go-to person for employee questions on policies and programs, looping in the Director of HR when things get complex.
- Coordinate training, performance review cycles, and employee recognition programs.
Payroll & Benefits
- Partner with our payroll provider to review timekeeping data, process employee changes, and reconcile payroll reports.
- Administer day-to-day benefits programs — enrollments, changes, terminations — and serve as the liaison with benefits carriers.
- Review benefits invoices for accuracy and coordinate with Finance on billing.
- Lead the charge on annual open enrollment, from materials to info sessions to tracking elections.
Office & Culture
- Keep the office running smoothly — clean, organized, well-stocked, and welcoming.
- Plan and execute in-office events, meetings, and employee engagement activities.
- Cover front-desk reception, phones, and executive scheduling needs as they come up.
- Coordinate supply ordering, vendor requests, and general workspace organization.
Compliance
- Maintain required postings, I-9 records, EEO documentation, and FMLA paperwork.
- Help prepare routine HR reports and metrics for leadership.
- Jump into other HR projects and duties as they come up — no two weeks look exactly the same.
Requirements
What You Bring
- Associate's degree in Human Resources, Business Administration, or a related field — or equivalent experience.
- 2+ years in an HR, payroll, or benefits coordination role, with real end-to-end ownership of processes (not just a support capacity).
- Working knowledge of HR principles, practices, and applicable employment laws.
- Proficiency in Microsoft Word, Excel, Outlook, and SharePoint.
- Experience with an HRIS or payroll system.
- Sharp attention to detail, strong organizational skills, and the ability to juggle multiple priorities.
- Sound judgment and the discretion to handle sensitive, confidential information.
Nice to Have
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Experience supporting full-cycle payroll processing.
- Early-stage recruiting experience — posting requisitions, resume screening, initial candidate outreach.
- Familiarity with benefits administration and open enrollment.
- Experience with Rippling.
This is a hybrid role requiring 3 days in-office.
