Description

Join Hamilton Lane, a global leader in private markets, as we scale to meet the demands of our growing client base. Here, you’ll work with ambitious, high‑performing teams built on integrity, candor and collaboration, backed by our market-leading data and technology. We invest heavily in our people and our partners, giving you the platform to enrich lives, safeguard futures and grow your career.

What We Do

As one of the largest private markets investment firms globally, we provide innovative solutions to institutional and private wealth investors around the world, specializing in flexibility and full-spectrum access. We currently employ approximately 800 professionals operating in offices throughout North America, Europe, Asia Pacific and the Middle East, and have $1.0 trillion in assets under management and supervision, composed of $146.1 billion in discretionary assets and $871.5 billion in non-discretionary assets, as of December 31, 2025.

The Executive Assistant will provide seamless executive support to the Global Co-Head of Investments and at least two other senior Managing Directors in our London office. The successful candidate will act as a trusted partner and gatekeeper. They will manage complex calendars across multiple time zones, coordinate regional and international travel, and make sure that executive priorities are carried out efficiently.

This role calls for excellent judgment, a strong understanding of business etiquette, and the ability to communicate confidently with internal stakeholders, clients, and business stakeholders.

The Executive Assistant will also lead the EMEA administrative support team, acting as the single point of accountability for service delivery, standards, and ways of working across the function. This is a newly created role, established to professionalize and modernize how administrative support operates across the region.

The role will set clear performance and service expectations for the team, resolve day-to-day people and workflow issues directly, and champion the use of AI and process efficiencies to elevate the overall support offering. The role will have two direct reports in London and dotted lines to the other administrative team members across the EMEA region.

Key Responsibilities

Provide senior-level executive assistance as required. This includes but is not exhaustive of:

•     Managing and prioritizing their diary across multiple time zones, resolve scheduling conflicts, and protect time for strategic priorities.

•     Acting as the first point of contact and handling enquiries from internal and external stakeholders professionally and discreetly.

•     Anticipate the senior leader’s needs and prepare briefing materials, background notes, and agendas ahead of meetings.

•      Arrange complex domestic and international travel, including flights, accommodation, ground transport, visas, and travel documents.

•     Prepare detailed itineraries and provide real-time support when travel plans change.

•     Screen and prioritize incoming communications, and follow up on action items with the relevant parties.

•     Take accurate minutes at meetings, and track follow-up actions to completion.

•     Organize internal meetings, client meetings, and support corporate events, working with the front of house team and coordinating with the Events Manager to support as needed.

•     Coordinate visits by overseas executives and VIP guests, with appropriate attention to local business protocol and hospitality customs.

•     Build strong working relationships with executive team assistants, department heads, and external partners across regions.

•     Build strong relationships with stakeholders across EMEA, and wider firm, understanding the needs of the team and translating them into team priorities.

•     Coordinate with Human Resources, Finance, Legal, and Compliance on administrative matters as needed.

•     Maintain organized and confidential electronic and physical filing systems.

•     Process expense claims accurately and on time, in line with company policies.

•     Support ad hoc projects and special assignments as directed by senior leaders.

•     Help create a positive, inclusive, and well-organized workplace culture.

Team Leadership & People Management

•     Lead, coach, and manage the performance of the EMEA administrative support team, acting as their first point of escalation and day-to-day people manager.

•     Own recruitment, onboarding, workload allocation, and career development for the team.

•     Foster a collaborative, high-performing team culture aligned with firm values.

•     Address any behavioural, cooperation, and underperformance issues directly and promptly.

Service Delivery & Standards

•     Define and implement clear service delivery expectations, coverage models, and quality standards for administrative support across EMEA.

•     Establish consistent processes for task allocation, prioritization, and executive coverage, including holiday and absence planning.

•     Act as the escalation point for stakeholders when service levels are not met, and drive continuous improvement.

Ways of Working, AI & Efficiency

•     Review and modernize ways of working across the support team, identifying opportunities to streamline processes.

•     Champion the adoption of AI tools and other technology to increase efficiency and free capacity for higher-value work.

•     Benchmark the EMEA support model against best-in-class practice (including other regions) and lead initiatives to upgrade the service offering.

Qualifications & Experience

•     Significant experience (typically 8+ years) as an Executive Assistant, including experience supporting senior leaders in a professional or financial services environment. Private markets experience is a plus.

•     Proven experience managing, leading, or mentoring a team of administrative or support staff.

•     Track record of setting and improving service standards within a support function.

•     Experience introducing new tools, technology, or process improvements, including AI-enabled ways of working, is highly desirable.

•     Experience operating across multiple European or EMEA offices/cultures is a plus.

Skills & Attributes

•     Strong people leadership skills, with the confidence and emotional intelligence to manage performance and interpersonal issues directly and fairly.

•     Excellent judgment and discretion when handling confidential and sensitive information.

•     Proven ability to manage complex, fast-changing schedules across multiple time zones.

•     Ability to act with precision, timeliness and prioritise

•     Polished, professional communication style, capable of representing the function credibly with senior executives.

•     Proactive, solutions-oriented, and calm under pressure.

•     Critical thinker with an ability to analyze information and to evaluate the implications of a course of action or strategy.

•      Working knowledge of expense management systems (Workday preferable).

•     Highly organized, with the ability to design and implement scalable processes rather than simply executing tasks, particularly through AI and other technology enhancements.

•     Comfortable acting as a change agent, bringing a team along through new tools and ways of working.
