Executive Assistant
The Land Trust for Santa Barbara County
Santa Barbara, CA (On-site) | Full Time, Non-exempt | $33.65 to $40.00 per hour
About the Land Trust
For over 40 years, the Land Trust for Santa Barbara County has worked to protect the spectacular landscapes, essential habitats, working farms and ranches, and open spaces that make this county so special. With nearly 59,000 acres conserved and a growing network of preserves and community programs, we’re expanding our work to better serve everyone who calls Santa Barbara County home.
The Role
We’re looking for an organized, warm, and discreet Executive Assistant to support our Executive Director and Board of Trustees. You’ll manage the Executive Director’s calendar and correspondence, prepare her for each day and week, and keep commitments moving forward. You’ll also be the backbone of our board operations, from scheduling and meeting packets to minutes and meeting day logistics.
This role is perfect for someone who finds real satisfaction in making someone else’s day run smoothly, and who is just as comfortable stacking chairs after a committee meeting as drafting a polished note to a Trustee.
What You’ll Do
- Manage the Executive Director’s calendar, correspondence, and incoming requests, protecting focus time and routing items to the right people
- Prepare briefing materials and track commitments and follow ups through to completion
- Coordinate travel, donor visits, and external meetings, including itineraries and expense documentation
- Schedule board and committee meetings, assemble and distribute packets, and prepare draft minutes
- Maintain board rosters, governance records, and conflict of interest forms, and coordinate Trustee onboarding
- Welcome Trustees, donors, and visitors to our Santa Barbara office and provide backup front desk coverage
- Support senior leadership with scheduling and special projects as capacity allows
Requirements
What You Bring
- At least 3 years of experience providing administrative or executive support to a senior leader
- Advanced calendar management skills and good judgment when balancing competing requests
- Strong writing and proofreading skills
- Exceptional attention to detail and follow through (you confirm instead of assuming)
- A warm, professional presence with Trustees, donors, staff, and community partners
- Proficiency with Microsoft Office, including Outlook and Teams, and the ability to quickly learn new systems
- Discretion with confidential information
Bonus Points
- Experience supporting a board of directors or committees, including taking minutes
- Nonprofit, conservation, or mission driven experience
- Spanish language fluency
Schedule and Physical Requirements
This is an onsite position in our Santa Barbara office, generally [Monday through Friday, 8:30 a.m. to 5:00 p.m.], with occasional evenings for board meetings and events. The role involves sitting at a desk, typing, bending, and lifting or moving up to 25 pounds for meeting setup and supplies, with or without reasonable accommodation.
Compensation and Benefits
The hourly range for this position is $33.65 to $40.00 (approximately $70,000 to $83,200 annually), based on experience and qualifications.
We believe our people are at the heart of our conservation work, and our benefits reflect that commitment. The Land Trust pays 100% of employee only premiums for our Gold PPO medical plan and 50% of employee premiums for dental and vision coverage. To help you plan for the future, we offer a 403(b) retirement plan with an employer match of up to 4%. We also offer an Employee Retention Plan that rewards and invests in long term team members. Paid time off includes vacation, sick leave, and holidays.
Equal Opportunity Statement
The Land Trust for Santa Barbara County is an equal opportunity employer and is committed to building a team that reflects the communities we serve.
