Job Description

Are you an exceptional organizer, relationship-builder, and problem-solver who thrives at the intersection of healthcare, education, and leadership?

Join MUSC Health – Lancaster Medical Center as the Internal Medicine Residency Program Manager and play a critical role in supporting the growth and success of our Internal Medicine Residency Program.

This is more than program coordination—you'll help shape the experience of the physicians of tomorrow. Working alongside the Internal Medicine Residency Program Director and the Corporate Graduate Medical Education (GME) Office in Charleston, you'll help ensure our program operates seamlessly, meets rigorous ACGME accreditation standards, and provides residents with an outstanding educational experience.

Program Operations & Accreditation

Be the operational heartbeat of the residency program.

  • Ensure ongoing compliance with ACGME requirements, institutional policies, and accreditation standards.
  • Maintain ACGME Accreditation Data System (ADS) information, including resident/faculty rosters, scholarly activity, block schedules, and rotation goals and objectives.
  • Coordinate ACGME site visits, reports, meetings, and accreditation preparation.
  • Serve as the program's MedHub expert, maintaining resident and faculty evaluations, duty hours, vacation leave, training histories, portfolios, schedules, conference attendance, faculty accounts, and required reports.
  • Maintain Clinical Competency Committee (CCC) information, resident dashboards, progress reports, and clinical competency milestones.
  • Coordinate resident licensure, DEA, DHEC, certifications, ACLS, and other regulatory requirements.
  • Manage rotation, conference, and call schedules and ensure changes are accurately reflected in MedHub and the Simon on-call system.
  • Partner with the Program Director on lectures, educational materials, resident/faculty reporting, CME, affiliation agreements, and program documentation.
  • Serve as a key liaison with the Corporate GME Office, hospital departments, faculty, residents, and external institutions.
  • Assist with policies, procedures, the resident manual, accreditation reporting, Grand Rounds, M&M conferences, guest speakers, and off-campus educational opportunities.
  • Identify opportunities to improve processes and strengthen the resident experience.

30% | Resident Recruitment & Onboarding

Help us attract and welcome the next generation of physicians.

  • Coordinate the complete residency recruitment process through ERAS, Thalamus, interviews, and Match Day.
  • Review and organize applicant materials, academic records, recommendations, transcripts, and board scores.
  • Coordinate interview schedules, candidate visits, recruitment dinners, social activities, and applicant communications.
  • Prepare ERAS/Thalamus data and reports to support faculty ranking for the National Resident Matching Program (NRMP).
  • Maintain consistent communication with applicants, residents, faculty, leadership, and GME throughout the recruitment process.
  • Coordinate post-Match Day activities and collaborate with incoming residents, GME, hospital leadership, South Carolina licensure contacts, Global Health, and other partners.
  • Manage onboarding materials and resident portfolios within MedHub.
  • Coordinate orientation schedules and activities to ensure a smooth transition into the MUSC Health system.
  • Serve as a trusted resource and liaison supporting resident onboarding, development, and success.

Administrative & Financial Management

Keep the program organized, efficient, and financially sound.

  • Manage program procurement, expense budgets, reimbursements, and cost-center activity.
  • Maintain accurate oversight of resident salary and benefits.
  • Coordinate logistics for program meetings, conferences, and events.
  • Manage necessary agreements and procurement activities.
  • Monitor program expenses and provide insight into budget activity.
  • Review journal entries in OurDay and monthly income statement reports in Axiom.
  • Provide administrative support that keeps the residency program moving forward.

Additional Job Description

We're looking for someone who is:

  • Highly organized and able to manage multiple priorities and deadlines.
  • Detail-oriented with a commitment to accuracy and compliance.
  • A strong communicator and relationship-builder who can work effectively with physicians, residents, faculty, leadership, and external partners.
  • Resourceful and proactive, with the ability to anticipate needs and solve problems.
  • Comfortable working independently while being an integral member of a collaborative team.
  • Passionate about education, healthcare, and developing future physicians.
  • Experienced with technology and able to learn and manage systems such as MedHub, ERAS, Thalamus, OurDay, Axiom, and the ACGME ADS.

Minimum Qualifications

  • Bachelor's degree or equivalent combination of education and experience required.
  • At least 3 years of experience in an academic healthcare environment required.
  • Previous experience in Graduate Medical Education or education/teaching preferred.
  • Working knowledge of computer systems and Microsoft Office applications required.
