We are seeking a highly organized, proactive, and discreet Executive Coordinator to serve as a trusted partner to senior leadership. This role supports three C-suite executives and clients in a fast-paced, high-stakes environment where precision, judgment, and flexibility are essential.
This is not a traditional administrative role. The Executive Coordinator will act as an operational extension of senior leadership, managing complex workflows, protecting executive time, and helping ensure seamless day-to-day operations. The ideal candidate thrives in dynamic environments, anticipates needs before they arise, and brings structure, poise, and efficiency to demanding schedules and shifting priorities.
The successful candidate will have the confidence and comfortability to engage with C-suite executives, clients, investors, and senior internal leaders while maintaining the highest level of professionalism, confidentiality, and accuracy. This person will also support office operations, executive communications and data-based research, event planning, and special projects as the organization continues to grow.
Key Responsibilities
- Provide high-level executive support to senior leaders of the organization.
- Manage complex, fast-changing calendars for three leaders.
- Coordinate domestic and international travel, including detailed itineraries, contingency planning, and real-time troubleshooting.
- Serve as a liaison between C-suite leaders.
- Prepare executive briefings, presentations, reports, agendas, and other communication materials.
- Manage expenses, documentation, meeting follow-up, and administrative workflows with accuracy and urgency.
- Track action items, priorities, and deadlines to ensure operational continuity.
- Plan and execute onsite meetings, offsites, executive gatherings, and team events.
- Support office operations and assist with additional responsibilities as the business grows.
- Identify opportunities to improve efficiency, strengthen communication, and enhance executive effectiveness.

What We’re Looking For
- 5+ years of experience supporting senior executives in a fast-paced consulting, investment, construction, or similarly demanding professional environment.
- Experience supporting C-level leaders and managing high-level client-facing interactions.
- Strong track record of handling complex calendars, competing priorities, and frequent travel.
- Excellent organizational skills and the ability to work independently with minimal supervision.
- Strong executive presence, communication skills, and interpersonal judgment.
- High level of discretion, professionalism, and attention to detail.
- Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, Excel, and Word, as well as collaboration tools.
- Ability to remain calm, resourceful, and effective under pressure.

This position offers a competitive base salary estimated at $65,000 to $80,000 USD, depending on skills, qualifications, and experience.
