Job Description:
Role Summary
We are seeking an experienced Procurement Specialist to support consistent and accurate execution of day-to-day procurement operations across global business units. The role will create purchase requisitions, reconcile invoice and purchase order issues, manage queries, support business partners, and contribute to procurement transformation and project delivery. The successful candidate will combine strong SAP Ariba knowledge with customer service, analytical thinking, and disciplined operational execution.
What You Will Do
• Create accurate and complete purchase requisitions in SAP Ariba based on approved business requirements, contracts, quotes, financial coding, and supporting documentation.
• Manage purchase requisition and purchase order activities through the transaction lifecycle, including follow-up, status monitoring, and coordination with relevant stakeholders.
• Perform invoice reconciliation by reviewing purchase orders, receipts, contract terms, and invoice details; coordinate resolution of quantity, price, tax, coding, and matching exceptions.
• Manage day-to-day procurement activities in accordance with Enterprise Operating Guidelines, approval requirements, defined controls, and service-level expectations.
• Own and respond to procurement queries received from business partners, suppliers, Finance, Accounts Payable, and other internal teams, ensuring clear and timely resolution.
• Provide practical guidance to business partners on procurement processes, documentation requirements, buying channels, and SAP Ariba usage.
• Maintain accurate transaction records, supporting documentation, trackers, and audit evidence.
• Identify recurring issues, root causes, control gaps, and opportunities to simplify, standardize, or automate procurement processes.
• Support procurement transformation initiatives, including requirements gathering, testing, implementation, change communication, adoption, and post-launch stabilization.
• Apply project management discipline to assigned initiatives by maintaining plans, actions, risks, dependencies, and stakeholder updates.
• Collaborate effectively with colleagues and stakeholders across US and Asia time zones.
What You Need to Succeed
• Bachelor's degree or equivalent graduation qualification
• Minimum 7 years of relevant experience in procurement operations, purchasing, procure-to-pay, invoice management, or a related function.
• Hands-on working knowledge of SAP Ariba, including purchase requisition and purchase order processes; exposure to Guided Buying, invoicing, contracts, or supplier modules is an advantage.
• Sound understanding of procure-to-pay controls, purchase order lifecycle, invoice reconciliation, and 2-way or 3-way matching concepts.
• Demonstrated experience supporting business partners and resolving operational queries in a service-oriented environment.
• Experience contributing to procurement transformation, process improvement, automation, or change initiatives.
• Practical project management experience across planning, execution, risk tracking, and stakeholder communication.
• Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and collaboration tools.
Core Skills and Capabilities
• High attention to detail and commitment to transaction accuracy.
• Strong analytical, problem-solving, and root-cause analysis capability.
• Clear written and verbal communication with strong stakeholder-management skills.
• Customer-focused approach with the ability to explain processes in simple business language.
• Ability to manage multiple priorities, work independently, exercise judgment, and escalate risks appropriately.
• Continuous-improvement mindset with an interest in digital procurement and automation.
• Strong ownership, collaboration, adaptability, and accountability.
Measures of Success
• Accurate and timely creation of purchase requisitions.
• Timely resolution of invoice and procurement queries.
• Consistent adherence to controls, policies, and SLAs.
• Positive business-partner experience and clear stakeholder communication.
• Tangible contribution to process improvement and transformation initiatives.
Working Hours and Flexibility
The role requires flexibility to support both US and Asia business hours. The successful candidate must be willing to work rotational schedules and adjust working hours based on operational coverage and business needs.
Preferred Qualifications
• Professional certification in procurement, supply chain, or project management is an advantage.
• Experience in a global, shared-services, or matrixed procurement environment is preferred.
