Role Summary

The EHS & Facilities Specialist is responsible for the site’s Environmental, Health & Safety framework, ensuring compliance with internal standards and regulatory requirements. The role also oversees waste management, cleaning and janitorial services, facility and infrastructure maintenance, pest control, site security, and the coordination of all contractor and service work. In addition, the role manages satellite offices in other cities, ensuring consistent EHS and facilities standards across locations.

*Both fluent in Norwegian & English required

Key Responsibilities

1. EHS Framework Ownership

• Maintain and continuously improve the site EHS management system aligned with company standards and regulatory requirements (e.g., ISO 45001, ISO 14001 if applicable).
• Lead risk assessments, workplace inspections, safety walks, and compliance audits.
• Maintain EHS documentation, procedures, permits, and incident records.
• Track and report EHS performance KPIs (near misses, incidents, corrective actions, training completion, etc.).

2. Waste Management

• Oversee full waste handling process, including sorting, storage, disposal, hazardous waste, recycling programs, and documentation.
• Ensure compliance with environmental regulations and proper waste contractor coordination.
• Drive waste minimization and sustainability initiatives.

3. Cleaning & Janitorial Services

• Manage cleaning schedules and ensure proper hygiene standards across the site.
• Coordinate and control external cleaning contractors; ensure service levels meet operational needs.
• Maintain documentation for audits and compliance related to workplace hygiene.

4. Infrastructure Maintenance & Facilities Services

• Plan, coordinate, and monitor building and infrastructure maintenance activities, including janitorial upkeep and common facility repairs.
• Manage preventive maintenance for facility systems (HVAC, lighting, utilities, etc.) in collaboration with internal technicians or vendors.
• Maintain facility-related documentation and regular inspections.

5. Pest Control

• Coordinate pest control services, maintain treatment schedules, and ensure compliance with regulations.
• Monitor pest activity and initiate corrective actions when needed.

6. Site Security

• Oversee site security measures, including badge systems, and access control. Maintain relationships with security service providers.
• Ensure compliance with security policies and conduct periodic inspections.

7. Remote / Satellite Office Management

• Act as point of contact for EHS and facilities management for offices in other cities.
• Ensure remote sites follow the same EHS standards, facility inspections, and maintenance routines as the main site.
• Coordinate contractors and services for each remote location.

8. Contractor & Service Work Planning

• Plan, schedule, and oversee contractor work for facility services, maintenance projects, cleaning, pest control, and security.
• Ensure contractors meet safety requirements, sign in/out, follow site rules, and complete required permits (e.g., hot work, confined space, etc.).
• Conduct contractor evaluations and maintain service agreements.
