JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:
Job Summary
The Transfer Coordinator supports Northcentral Technical College’s university transfer pathways by coordinating the development, review, implementation, and ongoing maintenance of articulation agreements and transfer processes. This position serves as a primary point of contact for four-year university partners and collaborates across academic divisions, advising, enrollment, and other College departments to promote consistent and effective transfer practices. The Coordinator maintains centralized articulation and transfer documentation and supports the implementation and continuous improvement of processes that help students navigate clear and efficient pathways toward bachelor’s degree completion. The position also coordinates and implements grant-funded university transfer initiatives, including activities related to transfer infrastructure, partner engagement, student transfer programming, and data-informed evaluation of transfer practices and outcomes.
Please note this is an in-person position located on campus in Wausau, Wisconsin.
Essential Functions and Responsibilities

Articulation & Transfer Coordination
- Coordinate the development, review, implementation, renewal, and ongoing maintenance of articulation and transfer agreements with four-year institutions.
- Serve as a primary operational point of contact for university partners and coordinate communication among NTC faculty, academic leaders, advising, enrollment, and other College departments involved in articulation and transfer processes.
- Facilitate collaboration between NTC faculty and university partners to evaluate course and program alignment, maximize credit transferability, and develop clear transfer pathways for students.
- Maintain centralized, accurate, and accessible records of articulation agreements, transfer pathways, equivalency information, and related documentation.
- Coordinate established review and approval processes for articulation agreements to promote consistency with College standards, transfer practices, and applicable requirements.
- Monitor existing agreements and transfer pathways for needed updates, expirations, curricular changes, or other conditions requiring review or revision.
- Support the development and implementation of standardized articulation and transfer processes, tools, and resources across College departments.
Partnership & Cross-Functional Collaboration
- Build and maintain collaborative working relationships with four-year institutions to support existing transfer pathways and identify opportunities for new or expanded articulation agreements.
- Coordinate meetings and structured planning activities among NTC faculty, academic leaders, advisors, university representatives, and other internal and external partners.
- Collaborate with K–12 schools, workforce organizations, adult education providers, and other community partners to strengthen awareness of and access to university transfer pathways.
- Facilitate partner conversations related to articulation alignment, transfer processes, student navigation, and emerging pathway opportunities.
- Represent NTC in transfer-related meetings, events, partner visits, advisory activities, and other assigned external engagements.
- Coordinate transfer-focused partner and student engagement activities, including university visits, transfer events, workshops, orientations, and related programming.
Transfer Information, Resources & Communication
- Develop, maintain, and coordinate transfer-related tools, resources, templates, and documentation to support consistent communication of articulation and transfer information.
- Collaborate with advising, enrollment, marketing, academic departments, and university partners to ensure transfer information is accurate, current, and aligned across student-facing resources.
- Provide articulation and transfer information and guidance to faculty, staff, students, and external partners and connect individuals with appropriate College or university resources as needed.
- Support the development of communication and outreach materials that clarify transfer pathways, course applicability, degree alignment, and transfer processes.
- Identify opportunities to improve the accessibility and usability of transfer information for students, families, faculty, staff, and external partners.
Data, Evaluation & Continuous Improvement
- Collaborate with Institutional Research and other College departments to establish, maintain, and review data related to articulation, enrollment, persistence, transfer readiness, and transfer outcomes.
- Monitor articulation and transfer activities and outcomes to identify gaps, trends, and opportunities for process improvement.
- Participate in regular review of transfer data and project measures and use findings to recommend operational adjustments to articulation processes, partner engagement, transfer resources, and related activities.
- Track and document progress toward established objectives and benchmarks and provide accurate information to support institutional reporting and continuous improvement.
- Gather and incorporate feedback from students, faculty, staff, and external partners to improve articulation and transfer processes and resources.
- Remain current on transfer practices, regulatory or system requirements, and trends affecting articulation and university transfer.
Grant & Project Coordination
- Plan and implement assigned activities of the College’s university transfer grant in collaboration with the Project Manager, Student Success Advisor, and cross-functional College teams.
- Facilitate implementation activities associated with the Transfer Policy & Practice Audit, including gathering information, engaging internal partners, documenting findings, and supporting implementation of identified improvements.
- Support the development and implementation of the co-located Transfer Center in partnership with UW–Stevens Point, including coordination of articulation, advising, referral, and transfer processes across institutions.
- Coordinate assigned components of the University Transfer High School Academy, including articulation alignment, faculty and partner coordination, pathway development, and implementation activities.
- Collaborate with College departments and external partners to implement transfer-focused outreach, engagement, and programming for traditional students, high school students, adult learners, and other identified populations.
- Maintain project documentation, monitor assigned activities and timelines, and provide information and data necessary to support grant reporting, evaluation, and continuous improvement.
College & Professional Responsibilities
- Participate in College teams, committees, meetings, professional development activities, and other assigned institutional initiatives related to the responsibilities of the position.
- Maintain current knowledge of articulation, transfer, higher education practices, technologies, and applicable College, WTCS, and partner-institution requirements.
- Participate in professional learning and networking opportunities related to university transfer, articulation, student success, and assigned grant activities.
- Assist with College events and activities related to student recruitment, enrollment, transfer, and partner engagement, as assigned.
- Perform other duties as assigned consistent with the responsibilities and scope of the position.
Minimum Qualifications Required
In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.
Education: Bachelor's Degree
Bachelor’s degree in education, higher education, student affairs, business, communications, project management, or a related field.
Experience: 2 Years
Additional Experience Information:
- Minimum of two years of relevant professional experience in project coordination, education, higher education, student services, academic affairs, partnership development, or a related area.
- Experience coordinating projects, processes, or initiatives involving multiple internal and/or external partners.
- Experience interpreting and applying policies, procedures, requirements, or other complex organizational information.
- Experience organizing and maintaining detailed records, documentation, timelines, and multiple concurrent priorities.
Preferred Qualifications
- Background in a higher education environment, particularly within a technical college, community college, or university.
- Knowledge of articulation agreements, university transfer pathways, curriculum, academic advising, enrollment services, registrar functions, or transfer-credit processes.
- Experience working with four-year institutions or other external educational partners.
- Familiarity with student information systems, transfer/articulation platforms such as Transferology, or related higher education technologies.
- Demonstrated ability to use data to evaluate processes, monitor outcomes, or support continuous improvement.
- Experience with grant-funded projects or initiatives.
