Job Description
The Executive Assistant provides high-level administrative, project coordination, reporting, research, and logistical support to the development and construction leadership team. This position helps ensure timely communication, accurate documentation, organized project follow-up, and effective coordination of travel, reports, vendor communications,, and other activities that support development initiatives, construction progress, market expansion, and operational priorities.Essential Functions:
· Provide administrative and project coordination support to the development and construction leadership team, including tracking priorities, organizing information, and supporting timely follow-up on assigned matters.
· Coordinate, review, and maintain documentation related to general contractor pay requisitions, potential change orders, approved change orders, and other project-related materials, ensuring information is complete, accurate, and routed appropriately.
· Prepare, update, and distribute weekly construction reports, development reports, new market reports, project sales space reports, sales trailer reports, property management updates, and other recurring reports as assigned.
· Consolidate project information from multiple sources and maintain organized records to support leadership review, decision-making, and cross-functional communication.
· Provide administrative and operational support to leasing and property management team to ensure efficient management of our residential and commercial properties including tenant relations, lease administration, maintenance, property records, scheduling, and office operations.
· Coordinate travel arrangements for leadership and project-related activities, including company plane scheduling, commercial flights, rental cars, hotels, itineraries, and related logistics.
· Monitor assigned checklist items, deadlines, and follow-up tasks related to sales space readiness, project milestones, reporting cycles, and other development or construction priorities.
· Communicate professionally and effectively with internal team members, vendors, municipalities, utility companies, and other external contacts while maintaining confidentiality and a high level of service.
· Perform other administrative, reporting, research, and coordination duties as assigned to support business needs.
